We are looking for a hardworking Events and Partnerships Coordinator which is a newly crafted role within the venues team. The venues team is an integral part of the Student’s Union, running and delivering high quality events and operations across 4 bars and 1 nightclub in the heart of Imperial College campuses in central London.

Working in an exhilarating and inspiring atmosphere you will bring your strong planning and logistical skills to the fore, assisting the Events & Partnerships Manager with the day-to-day management and development of all the Unions partnerships and events. In such a fast-paced environment you will become adept at networking and establishing relationships as there will be close collaborating with external vendors and sponsors. We are looking to find a person who will have excellent organisational and customer service skills to ensure our clients and partners are left feeling great

There should also be a good grasp of knowing current event trends and being able to deliver experiences from concept to execution. The Events & Partnerships Coordinator is expected to attend and work at all the venues across all campuses on, at least, a fortnightly basis and ensure all venues adhere to legislation and policies relating to licensing law, health & safety, and food hygiene.

We requires someone with sound judgement and who can be confident and amiable when communicating. The role requires multitasking, prioritising workload and forward planning in a busy environment.

Duties and responsibilities

The Events & Partnerships Coordinator will support the growth of the Unions advertising commercial income, promote our services, maintain relationships with external sponsors and partners and deliver exceptional student experiences through events across the Imperial College student calendar, such as Welcome Week and Summer Ball.

They will support the Venue Management team and other internal stakeholders to deliver successful events and partnerships, ensuring that the impact of these activities is measured to inform continuous improvement in our work.

With the support of the Events & Partnerships Manager, the post holder will manage all ICU partnerships with key brands, businesses and media partners as well as private hirer of ICU spaces, and initiate, develop, monitor and manage partnerships to achieve income targets set annually. They will ensure the timely and efficient response to queries and bookings, invoicing and advancing where needed to ensure our clients have a positive experience in dealing with the Union, and that relationships are nurtured.

  • Demonstrable commitment to ongoing professional development
  • Experience of working within a sales environment and driving sales
  • Experience of working with commercial partners
  • Experience of managing and costing events to a budget
  • Experience of planning events and producing function sheet details and room bookings
  • A working knowledge of current event trends across different demographics but particularly students
  • A working knowledge of Health and Safety legislation, COSHH and relevant best practice
  • Excellent administrative, organisational and time-management skills with the ability to prioritise and work on multiple projects simultaneously
  • Proactive, respectful and team mind-set with the ability to also work autonomously
  • Exceptional verbal and written communication skills with the ability to understand the requirements of a marketing brief and deliver against it
  • Ability to build strong relationships and present information to a range of audiences in a clear, accurate and confident way to meet the desired outcomes
  • Ability to plan monitor and implement projects to agreed deadlines and financial targets, often with conflicting priorities
  • Excellent personal organisational skills and ability to work with other teams, departments and external organisations to achieve objectives
