The role of Site Office Administrator will include but not be limited to the following tasks associate with the functional duties of site office administration. This position involves a variety of tasks ranging from basic office duties to more complex responsibilities, contributing to the overall success of the Projects.


Day to Day Duties:


  • Deliver a broad range of administrative services including document control and data input.
  • Obtain supplier quotations, complete material requisitions for purchasing.
  • Compile delivery dockets and complete GRNs (Goods received Notes).
  • Maintaining stock levels and purchasing of Equipment / Stationery for office.
  • Receive, sort, and distribute incoming mail and packages.
  • Completing Weekly time sheets from site for payroll purposes and agencies time-keeping records.
  • Administering the site Plant and Tool Register.
  • Assisting HR Department for on-boarding personnel to site.
  • Assisting HR Department with Training Management System.
  • Participating in HSEQ Audits for ISO Purposes.
  • Managing travel plans, appointments and agendas of senior site management.
  • Assist managers and executives with administrative tasks.
  • Prepare reports, presentations, and other documents as requested.
  • Identify and resolve routine administrative problems.
  • Assisting colleagues whenever possible.
  • Ad-hoc assistance to all aspects of running an efficient and productive site office.


Requirements:


  • Demonstrate a proactive approach and positive attitude.
  • Good communication and interpersonal skills.
  • Good organisational skills with ability to prioritise workload, flexibility, and drive to finish key activities through to completion.
  • Proficient in Microsoft Office (Word, Excel, Outlook, Teams, PowerPoint).
  • Ability to multitask and prioritise tasks effectively.
  • Attention to detail and accuracy in work is essential.
  • Familiarity with office equipment such as printers and copiers.
  • Must be eligible to work in UK.
