Job Description

Our Patient Co-ordinator role at Dr. David Jack’s Clinics is one of the utmost importance. You are the first point of contact for all clients and the last at they leave the clinic doors, therefore it is integral you represent the brand to the highest quality and offer immaculate customer service. Whether they are new to clinic or have been loyal to the clinic for a number of years which many of our clients have been, we provide excellent customer service throughout the client’s journey providing a personalised and luxury experience for every client.


Requirement to work within the core hours of 8am - 8pm and every second Saturday.


The following experience/skills are fundamental to the Patient Co-ordinator role:


  • Previous experience in receptionist/front of house/admin role
  • Excellent level of written and verbal communication skills
  • Previous experience working with sensitive and confidential information with an excellent understanding of client privacy and data protection policies such as GDPR
  • Friendly, people-person with excellent attention to detail
  • Outstanding customer service experience within a luxury setting
  • Passion for and knowledge of the aesthetics industry and skincare
  • A desire to be part of a growing business
  • Confident skills in Microsoft Office Suite, Apple Mac, Google Workspace and previous use of CRM systems
  • Time-management skills and ability to prioritise tasks in an efficient manner


Roles & Responsibilities. Your responsibilities are, but not limited to:

  • Customer liaison; welcoming clients and offering tea/coffee/water upon arrival/whilst they wait, ensuring excellent, luxury service is delivered at all times, owning the patient journey from enquiry to initial visit to the clinic to following up with the client post-appointment
  • Working closely with the practitioners to maintain an efficient, punctual and communicative working environment Diary management, administration, ensuring correct and optimal bookings, answering calls/emails from clients and requests in a timely manner ensuring the tone of the Dr David Jack brand
  • Excellent level of understanding of the treatments and products offered within the clinic and skincare brand, staying up to date on new products and treatments
  • Performing a variety of administrative and clerical tasks, offering administrative support across the organisation where needed
  • To promote and recommend products and services, maximising opportunities for sales and referrals, advising patients on treatments and skincare products available and most applicable to them
  • To manage petty cash, daily accounting, banking, issuing client invoices and using payment systems in accordance with company policies and procedures
  • Supporting doctors and aestheticians with ad hoc duties and ensuring they have all the necessary equipment, consumables and products
  • Stock management and monitoring collections and deliveries, including unpacking of stock and arranging displays of such and updating the stock count in the CRM system and sending stock count to accounts
  • Supporting on PR, marketing and clinic events (please note these may be on evenings and/or weekends)
