Purpose of Position

Teams Responsible for;
  • Hub Process, Analytics & Labour Planning
  • Hub and Network Operational Planning (IOC)

Responsible for the management of the teams above. The management of all the hub labour planning to drive efficiency and service to Network, Transport and Customers. Identifying and driving the strategic needs of the business and producing results to ensure the relevant opportunities are realised. Management of the financial plan, planning & monitoring performance across the department to ensure KPIs are achieved whilst maintaining high levels of service. Ensuring all the hubs are allocated and equipped with the correct resource, from employed hours and agency. Liaising with CRM to ensure all needs are met for high levels of customer satisfaction, whilst looking at how to improve the level of service or provide solutions to customer requests. Implement any potential cost saving initiatives whilst maintaining service. Management of the service levels to Network, Transport and Customers and looking for intuitive enhancements across the department to improve accuracy and efficiency.

Key Tasks/Areas of Responsibility:

Process, Analytics and Labour Planning
  • The management of the Hubs planning team ensures that the department's costs needs are met. The GM should be integral in the direction and motivation of the planning team to ensure that cost targets are achieved, the planning team have responsibility for 50% of the £130m hub budget and as such requires close control to ensure that business costs do not spiral out of control.
  • Manage the planning team to deliver the service to the Network, Transport and Customers, given service is paramount in our business. The ability to ensure depots can service relies heavily on the planning of the hub labour department. The hub planning team is also responsible for ensuring the hub sort finishes on time; the GM should ensure that all necessary steps are taken to spread the volume in DPD across the various hubs ensuring we get on time finishes in the various DPD group hubs.
  • The hubs labour planning team is responsible for the production of a peak schedule for transport and the hubs. The GM should be heavily involved in the provision of a schedule that allows the depots and transport to cope with the volume expected and deliver the service the business requires. The added element is ensuring that the hub's capacities are utilised to the maximum as the incorrect application of volume would result in a failed peak and have a markedly negative impact on the companies' service.
  • Develop the numbers that allow the transport team to decide on resources which include both drivers and vehicles. This is all driven by the GM of to ensure that the required number of workers are in place in and out of peak which ensures they have the required resources to deal with the volume from network to the hubs and back each day. Without this extensive planning element the planning department could not ensure the ongoing delivery of service in the business.
  • Ensure all data required by the GM's of hubs is available on a timely basis to make informed decisions and actions relating to misroutes, held and FTD service to customers by the depots.
  • Ensuring that adequate agency has been sourced for the operation and has a team in place to ensure the accurate payment of the agencies and all possible outstanding related costs. This includes the invoices of the business that are critical to the continued service of our most critical delivery destinations.
  • Ensure resolution of hub issues, through proactive management of areas of concern, quick response to immediate problems and strategic planning of potential areas of weakness. Planning of contingencies in case of site failure.
  • The GM is responsible for providing all operational plans to the Hub GM's within the operation, ensuring that the relevant resources are available. This includes booking all agency workers to fill in the gaps the employed workers have left by being on annual leave/absent.
  • Responsible for deciding how many employed workers are required, and how many vacancies need to be created and filled by the recruitment team, including the strategic locations of the vacancies, to satisfy peak and non peak requirements. The team is then responsible for the holidays and absence of the employed workforce, and ensuring that cover is in place for holidays using agencies.
  • All contracts with suppliers are monitored and reviewed by the GM, ensuring that the relevant business procedures are followed.
  • Development of relationship between hubs and the transport department. Working closely on volumes, resource balancing and aligning hub opening times and days especially over major national holidays.
  • Focal point of strategic customers. The GM should be involved with the strategic customers of the business providing support and advice where required and helping to develop their peak plans.
  • The GM should be one of the focal points for the EVT requirements of the business. The GM will ensure that adequate resources are provided to enable the EVT to be achieved. The GM will also be responsible for allocating the volume proportionally to ensure the hubs achieve the required throughputs before 21:00 again achieving the EVT.
  • Development of departmental policies and procedures including producing and developing new processes. It is integral to redesign processes to ensure continued improvement within the business. The reduction of manual entry risk within the department is driven primarily by the GM and their analysis team, providing the necessary steps to the remaining department enabling it to continue to deal with the increase workload.
  • Responsible for the team in charge of real time analysis of hub labour usage , especially live PPMH for each sortation
  • Collate and report on hub Service, and provide recommendations on improvements for the service of Network and Customers.
  • Support the Operations team within hubs with process improvements and the creating and maintaining Google software that allows efficiencies within the operation.

Operational Planning
  • Facilitating communications between hubs and depots in terms of trailer loading compliance.
  • Ensuring relevant assets are available for the smooth operation of transferring parcels for depots, customers, requiring the use of magnums and totes.
  • Managing the network planning function, ensuring appropriate plans are put in place ahead of peak and key dates.

Other Responsibilities
  • Development and management of the managers and teams of the roles listed above.
  • Responsibility of the strategic direction of the department in both the short and long term. The GM should be integral in all aspects of the department and identify the possible weak points and how to best proactively solve these issues. The GM should also have a leading role in thinking about the strategic developments in the wider business; the GM should have the awareness to consider the business objectives and look to create solutions that are of benefit to the wider business as well as the individual department.
  • The GM should undertake multiple projects dictated by the business and also undertake additional projects to promote the business. The GM of is the focal point for the technical projects ensuring that all relevant parties are aware of what needs to take place.
  • The GM will provide an integral role in all financial planning of the hubs, especially PPMH planning. The provisional plans will all be put in place through the GM and then discussions with the Head of Hub Operations and the Financial department to agree and produce a yearly PPMH KPI. Alongside the Head of Hub Operations the GM Hub Planning will also be involved in the allocation of the quarterly targets that the hub department have to strive to meet.
  • Responsible for the department's BCP model and also the Risk Register for hubs.
  • To carry out disciplinary/grievance hearings and appeals in line with the company disciplinary procedure.


Qualifications
