OVERVIEW
The Reception/Administrator's primary role is to create positive first impressions for visitors and clients, while proactively and efficiently managing all reception duties. This role is crucial in supporting the successful delivery of projects, aligning with HSEQ (Health, Safety, Environment, and Quality) systems, and surpassing customer expectations.
HSEQ COMPLIANCE:
Adhere to all HSEQ requirements as outlined in the HSEQ Manual, Procedures, staff handbook, and as per customer-specific HSEQ procedures.
RESPONSIBILITIES:
- Greet and manage all visitors, ensuring adherence to the correct sign-in procedures.
- Professionally and warmly answer and direct all incoming calls.
- Receive and distribute incoming mail.
- Process all outgoing mail efficiently.
- Coordinate and manage all deliveries to the reception area.
- Arrange catering for internal events and functions as required.
- Ensure that the reception area is clean, tidy, and presentable at all times.
- Ensure TRAC promotional materials are displayed neatly and are up-to-date.
- Order and manage the stock of stationery and cleaning supplies.
- Source and book accommodation, flights, and transportation as needed.
- Ensure logistical arrangements, including travel and accommodation, are communicated to field staff.
- Create and revise purchase orders as required.
- Assist in the creation and updating of TRAC CVs.
- Provide support with any additional administrative tasks as required and appropriate.
- Participate in the Emergency Response team in roles assigned by the Managing Director.
COMPETENCY REQUIREMENTS
Qualifications:
- Basic Numeracy & Literacy (e.g., Maths/English at Standard Grade or equivalent).
Experience/Knowledge:
- Prior experience in a similar role is beneficial but not essential.
Additional Skills/Knowledge:
- Basic understanding of Microsoft Office Applications.
