Key Responsibilities:

Administrative Duties:

  • Managing and directing emails from the General Information inbox.
  • Processing purchase orders, manual payments, and credit card requests.
  • Conducting petty cash reconciliations.
  • Coordinating catering services for meetings.
  • Utilizing Adobe Sign for document management.
  • Arranging and documenting travel and taxi bookings as necessary.
  • Taking minutes during management meetings for accurate record-keeping.
  • Handling stationery orders and ensuring proper distribution.
  • Maintaining records and filing actions related to UK regulatory compliance.
  • Acting as the Facilities Management point of contact during the manager's absence.

Reception Responsibilities:

  • Operating the switchboard through Microsoft Teams.
  • Welcoming and assisting colleagues, visitors, and contractors.
  • Issuing access passes for contractors and visitors, ensuring all site inductions are completed and documented.
  • Updating the Reception Manual as needed to reflect current practices.
  • Maintaining a clean and organized reception area, ensuring it is free from hazards.
  • Managing incoming and outgoing mail efficiently.
  • Ensuring the franking machine is adequately funded for postage.
  • Coordinating the distribution of incoming parcels and deliveries.
