JOB TITLE:
COMMERCIAL COORDINATOR

KEY RESPONSIBILITIES:

  • In support of our Operations contracts including Wind Energy and business the role will have responsibility for commercial activities related to both the pre
- and post-award stages of allocated contracts including providing commercial input into tenders and guidance to the project teams regarding the pre and post contract and commercial aspects of a project whilst also ensuring that the client and internal analysis and reporting requirements are being met against agreed deadlines.

  • Pre award
  • Commercial input to assigned tenders and proposals and ensure these are completed in compliance with Company Commercial Tender Process and approvals.
  • Develop the tender estimate with the Project Team for the purpose of having a complete, accurate and optimized cost estimate.
  • Working within the team provides input into the overall commercial pricing and commercial strategy.
  • Produce a detailed commercial commentary for all new bids advising on proposed qualifications, departures, and pricing.
  • Assists the contracts team in responding to legal, tax, commercial and insurance issues related to a tender and ensure that all such tax, insurance and legal items are built into the pricing schedules.
  • Maintains tender pricing data and undertake benchmark exercises on a periodic basis against actual execution costs
  • Engaging with Supply chain proactively, and during the tender process, to ensure that vendors required to support work execution are identified for each scope of work that pricing is competitive and aligned to the contract requirements
  • Ensure that the key commercial and contract terms and conditions are presented and understood by the Project Management upon award of the Contract

  • Acting as the commercial focal point for the client commercial contact and attend client meetings as required.
  • To produce robust, timely and accurate commercial reports in including but not limited to value of works, forecast of spend, commitments annual budgets, business plans and contract incentive schemes.
  • On selected projects Commercial management of subcontractors including value analysis payments preparation, approvals, final account work, and inputting into dispute resolution.
  • Monitor the ongoing performance of each contract by preparing monthly management accounts, forecasts and budgets and ensure all commercial and financial reporting deadlines are met.
  • Working with supply chain ensure resolution of major deviations from Vendors to the terms and conditions of Purchase of Goods and Site Services;
  • Support the projects team by providing ongoing and regular commercial analysis and information regarding expenditures, commitments, forecasts and the financial performance of the contract.
  • Proactively provide advice and support to the project teams regarding the contractual and commercial aspects of the contracts.
  • Ensure Labor and 3rd party reconciliations are done on a monthly/quarterly basis.
  • Identify where contract amendments may be required to cover contract changes and provide support in their drafting and submission.
  • Ensure the contract commercial structure (i.e sell rates) are updated as required and prepare the rates for the annual rate review process and for purposes of contract variations.
  • Liaise with the commercial administrators to review invoices and ensure they are presented to the client correctly and in a timely manner such that they are paid on the due date.
  • Monitor outstanding debtors and ensure that any commercial problems are addressed, and that cash collection is optimized.
  • Participate in contract reviews and ensure that specific commercial issues, risks and opportunities requiring management are understood and communicated.
  • Perform all tasks and prepare all information in accordance with the company's policies, processes and procedures.
