Job description


The Air Cadet Charity is currently undergoing an exciting transformation to become an independent grant-making charity supporting the Royal Air Force Air Cadets.

This is an exciting opportunity to be part of a transformation and help shape the role and the Charity into its future self.


We are looking for a flexible individual with a positive 'can-do' attitude who possesses strong administrative and communication skills to be able to support the delivery of day-to-day operations.

Finance skills are desirable, but not essential, and the ability to work both independently and collaboratively are crucial.

Depending on the skills and aspirations of the successful applicant the role has the potential to develop into other areas of the Charity as it continues to evolve.

It would provide an excellent opportunity to develop a number of skills in different professional areas.

The Role
The role of Administrator is focused on day-to-day and financial administration including payment of invoices and grants.

You will be providing support to the Charity Director as well as the organisation and minuting of meetings, while acting as a key contact point for enquiries.

Documenting operational processes and maintaining records will be an important part of the role along with assisting in maintenance of the Charity's new website and social media accounts.


Hours:
Full-time (part-time and flexible working will be considered for the right applicant).

The role will be hybrid working with preferably two days in the office per week (more may be required during the training period).


Admin support:

  • Provide daytoday administrative support across the charity.
  • Serve as a friendly, professional, and helpful first pointofcontact.
  • Communicate with external supporters and stakeholders.
  • Engage in and complete training appropriate to your role and wider needs of the Charity.
  • Assist in updating the new Air Cadet Charity website and social media accounts.
  • Help to maintain contact lists and other databases.

Finance:

  • Process grant payments, pay invoices and reconcile accounts.
  • Maintain accounting records for audit purposes.

Operations:

  • Support with reviewing existing, and creating new, operational processes and functions.
  • Support ongoing transformation projects and tasks, working closely with the Charity Director and Trustees.
  • Other reasonable tasks as deemed necessary to ensure the effective daytoday running of operations.

Meetings:

  • Schedule meetings and assist in preparing meeting papers.
  • Take notes and minutes and act as Secretary to the Board of Trustees.

Experience

Essential:

  • Excellent administrative and organisational skills.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, Teams and PowerPoint) as well as accounting packages, preferably Xero.
  • Competency in using digital products and services.
  • Excellent verbal and written communication skills with the ability to build relationships at multiple levels.
  • Ability to manage confidential information appropriately.

Desirable:

  • Experience of managing daytoday finances including bank transactions, tracking budgets, maintaining records, payment of invoices, reconciling of accounts.
  • Experience in the charity sector.

Personal profile

  • Ability to work proactively and on own initiative.
  • Ability to plan and prioritise work to meet deadlines, with good time management.
  • Excellent attention to detail.
  • Work well with others and able to think analytically.


This post is offered for 12 months in the first instance with the possibility of becoming a permanent role depending on the needs of the charity.
