About the Role

We are seeking a highly organized and efficient Administrative Assistant to join our team at Lincolnshire Partnership NHS Foundation Trust. As an Administrative Assistant, you will play a vital role in providing administrative support to our IAPT Team, ensuring the smooth operation of our services.

Key Responsibilities
  • Gathering and inputting accurate information onto our database systems.
  • Producing high-quality reports, including graphs and tables, as required.
  • Communicating sensitively with service users and visitors, maintaining confidentiality at all times.
  • General administration duties, including answering phone calls, taking messages, dealing with enquiries, and assisting with the dissemination of information.
  • Typing and producing letters, reports, and emails to a high standard of quality and accuracy.
  • Responsible for making room bookings and maintaining the room booking diary.
  • Assisting in scheduling appointments and diary management using Microsoft and IAPTus systems.
  • Assisting in stock control and electronic ordering of office equipment and stationery.
  • Assisting in the proper functioning, maintenance, and fault reporting of central equipment.
  • Recording data using the appropriate information system or manually where required.
  • Complying with and carrying out safe practice in accordance with Trust policies and procedures.
  • Assisting colleagues in setting up remote meetings.
  • Ensuring the smooth running and management of appointments.
  • Providing an efficient and friendly service to service users and visitors.
Person Specification
  • NVQ level 2 Business and Administration or equivalent.
  • ECDL or equivalent, including basic knowledge of all MS Office packages.
  • GCSE in English, grades A-C or grade 9-4 or level 2 Literacy or equivalent.
  • Relevant experience of working in a general administrative background.
  • Previous experience working within a NHS Trust (desirable).
  • Understanding of Code of Conduct in relation to Data Protection and Information Governance.
  • Ability to organize and plan activities, adjusting workload in response to prevailing circumstances.
  • Knowledge of NHS systems (desirable).
