We are seeking a highly organized and efficient Administrative Assistant to join our team at Lincolnshire Partnership NHS Foundation Trust. As an Administrative Assistant, you will play a vital role in providing administrative support to our IAPT Team, ensuring the smooth operation of our services.
Key Responsibilities- Gathering and inputting accurate information onto our database systems.
- Producing high-quality reports, including graphs and tables, as required.
- Communicating sensitively with service users and visitors, maintaining confidentiality at all times.
- General administration duties, including answering phone calls, taking messages, dealing with enquiries, and assisting with the dissemination of information.
- Typing and producing letters, reports, and emails to a high standard of quality and accuracy.
- Responsible for making room bookings and maintaining the room booking diary.
- Assisting in scheduling appointments and diary management using Microsoft and IAPTus systems.
- Assisting in stock control and electronic ordering of office equipment and stationery.
- Assisting in the proper functioning, maintenance, and fault reporting of central equipment.
- Recording data using the appropriate information system or manually where required.
- Complying with and carrying out safe practice in accordance with Trust policies and procedures.
- Assisting colleagues in setting up remote meetings.
- Ensuring the smooth running and management of appointments.
- Providing an efficient and friendly service to service users and visitors.
- NVQ level 2 Business and Administration or equivalent.
- ECDL or equivalent, including basic knowledge of all MS Office packages.
- GCSE in English, grades A-C or grade 9-4 or level 2 Literacy or equivalent.
- Relevant experience of working in a general administrative background.
- Previous experience working within a NHS Trust (desirable).
- Understanding of Code of Conduct in relation to Data Protection and Information Governance.
- Ability to organize and plan activities, adjusting workload in response to prevailing circumstances.
- Knowledge of NHS systems (desirable).
