The role:As an Office Coordinator you will be responsible for looking after the smooth running of the day-to-day operations of the London office and will be the first port of call for visitors and staff. You'll be a natural at putting them at ease, ensuring they're comfortable and projecting a warm and friendly welcome into our space. Staff will naturally come to you as their first point of call for all things office related.


This role also requires someone who is happy to be an active participant in team building and to 'lead the charge' around building excitement and engagement in the Company's social events.


As part of this you are specifically responsible for:

  • Maintaining an 'on brand', visible and appropriate presence in the office.
  • Office Walkarounds: Ensuring the offices (studio floor, meeting rooms, labs, kitchen, breakout areas, and cupboards) are consistently clean, tidy and being properly maintained and putting these areas back to good order where needed.
  • Proactive and reactive maintenance of office equipment and technology, including tidiness and restocking of printer areas, stationery and storage cupboards. Having your ear to the ground insofar as 'quiet grumbles' and ensuring the relevant owners are informed (i.e. labs, helpdesk, photocopiers, handyman, etc.) and taking remedial action taken where this action sits with FOH.
  • Liaising with suppliers organising deliveries and sourcing new suppliers where needed.
  • Overseeing the office building and environment; security including alarm systems, door codes and office keys, Health and Safety including fire evacuation procedures and organising general office maintenance such as PAT testing.
  • Supporting with organisation of events and coming up with new ideas for fun companywide or office activities, Cake Fridays, away days, celebrations, afterwork social events, etc.
  • Working with the FOH team and Executive Assistant (EA) to book travel and hotels.
  • Answering incoming calls on the main Foolproof phone line.
  • Helping and supporting other Foolproof offices, making sure they are all aligned.
  • Being a good ambassador for the wider Operations team (of which the FoH teamis part of) and its areas of responsibility.

As part of this role you will work alongside the Facilities Manager to:

  • Ensure working practices are in place, being actively used and reviewed as required
  • Be proactive about potential risks before they turn into issues, and resolve issues when they arise
  • Help manage and provide support for external and internal events
  • Communicate with the business in a timely and appropriate way
  • Work with third parties to actively maintain the office environment
  • Liaise with all the relevant areas of the business to ensure that the team is working efficiently and any feedback is acted upon
