To provide a point of contact for patients, and act as a focal point of communication between patients, Doctors, medical staff and other staff

REPORTS TO:
Reception Supervisor

RESPONSIBLE TO:
The Practice Manager and Doctors.

MAJOR DUTIES AND RESPONSIBILITIES OF THE POST:1.
Telephone

  • The telephone must be answered on or before the fifth ring
  • Always give the name of the surgery when answering the phone. Identify yourself when answering calls. Speak clearly and pleasantly
  • Diverting calls to appropriate extensions and taking any messages etc. as required. Never put calls on hold without first establishing the reason for phoning in
  • Without being abrupt, keep the conversation short and to the point, remember there could be someone seriously ill waiting to get through
  • Patients must be given an appointment the first time they phone, and not told to phone back later
  • Offer the patient the first available bookable appointment with the Doctor of their choice this may mean a considerable wait. If this is not convenient to the patient, offer an alternative time and, if necessary, an alternative Doctor. For those patients who cannot wait, you must use your discretion and the facility on the computer and fit them in as soon as possible with whoever has an appointment
  • If someone needs to see a Doctor urgently, they must be prepared to see any Doctor or Nurse Practitioner

. Messages

  • Ensure all messages are entered on the computer system
  • Check caller/patients full name, correct address and telephone number are on the computer so they can be contacted by the Doctor if necessary
  • Update new details when necessary

Visits

  • Follow the guidelines for Receptionists re visits (attached)

Patients

  • Making appointments, both on the telephone or at the desk.
  • Being courteous, friendly and helpful at all times, assisting patients with queries, registering new patients or temporary patients and ensuring all correct paperwork is completed.
  • Booking ambulances where necessary
  • Ensuring all requests for home visits, prescriptions and messages are recorded and that unresolved queries are passed to colleagues when shift changes occur

Chaperoning

  • At times Receptionists may be asked to chaperone patients during examinations by GPs/Nurse Practitioner

Communication

  • Inform Reception Supervisor or Assistant Practice Manager if a GP phones in sick
  • Read the daily journal to keep up to date with any changes and sign

Income

  • It is the responsibility of the Receptionist to collect income relating to relevant claim forms and correspondence
  • Record all monies in receipt book and issue receipt to patient

Prescriptions

  • When patients come to collect prescriptions please take care ensuring patients' addresses are checked. Reception staff working on the late shift are responsible for ensuring all prescription boxes and pads are safely locked away

Records/Filing

  • File notes in strict alphabetical order and change addresses where necessary, and refile in correct position this must be adhered to
  • Repair or make new folders as necessary

Housekeeping

  • It is the responsibility of every Receptionist to make sure the reception area is kept tidy and free from clutter, e.g. sharps boxes must be stored in the storerooms
  • Fire exits must not be blocked

ROLE:


You will be expected to act as part of the practice team and as such your job will involve you supporting other members of the team from time to time.

An understanding, acceptance and adherence to strict confidentiality is expected including an ability to use your own judgement and common sense.
