Our Health, Safety and Risk team is looking to bring in a Resource Administrator to assist our Milton Keynes team.


Purpose of Role:

***Work within the Resource Team to assist with the administrative functions, delivering a client focused service for the Business Stream. The role will see you booking commissioned work and diary management, handling of client enquiries and assistance with all other resource general duties.

About The Team:RPS Health, Safety and Risk team provides the delivery of Health and Safety consultancy services, focusing on; property management, corporate and manufacturing/industrial clients. This includes Health and Safety, Fire Safety, Legionella and Asbestos Awareness.

What you'll be doing:
  • Co
  • ordinating and liaising with the Health, Safety, Fire and Legionella teams, the booking of commissioned work, and preparing/issuing site instructions to Health, Safety, Fire and Legionella consultants.
  • Updating and managing the diaries of the Health, Safety, Fire and Legionella consultants.
  • Setting up jobs in RPS diaries and management systems.
  • Updating the online RPS systems as directed.
  • Issuing and managing the customer feedback forms for Legionella.
  • Jointly within the Resource Management team, act as one of the first point of contacts for key client enquiries, ensuring they are handled professionally, and all technical/sales enquiries are relayed to the relevant consultant/sales team member and followed up.
  • Attending quarterly Team Meetings for H&S, Fire team and Legionella Team.
  • Administrative support for the Health, Safety and Fire and Legionella Teams including:
  • Preparing logbooks.
  • Obtaining site contact details for consultants.
  • Obtaining purchase order numbers and invoice addresses.
  • Printing and issuing course certificates.
  • Booking of travel and overnight accommodation as required by consultants through the RPS travel provider.
  • Formatting and issuing reports for Health, Safety, Fire and Legionella.
  • Uploading reports and tasks to client portals.
  • Preparing and carrying out Invoicing.
  • General administration support.

What we are looking for:

Technical Skills and knowledge:

  • Co
mpetent user and thorough knowledge of the complete Microsoft packages.

  • Background interest and general understanding of health & safety and fire.
  • Proven ability to identify grammatical errors, and other writing issues in reports.
  • Keen attention to detail.
  • The ability to be selfmotivated and be able to work to strict deadlines.
  • Good inter personnel and communication skills.

Qualifications:

  • Relevant IT/Computer qualifications.
  • Proven courses in GCSE and A Level English language.
