The Role

HAIL Partners is working with a Founder/CEO of an Investment Management firm who is looking for a diligent and professional, private Personal Assistant to himself and his partner. This individual must be a native or bilingual French speaker.


Responsibilities:

  • Managing expenses and budgets for multiple properties, liaising with vendors and property managers, making sure vendors are paid on time and that records are kept. Keeping records of any rentals.
  • Household management, including administration pertaining to running a household
  • Undertake personal travel and logistics etc, performed seamlessly and to a high standard – being available to monitor and act on any travel changes when they arise.
  • Maintain a good understanding of the Founder’s business and personal life and all existing projects to ensure that you are proactively supporting and pre-empting needs.
  • Managing household staff.
  • Highly confidential work on the Founder’s personal finances, setting up payments, managing cash flow and balances.
  • Assisting with Founder’s family needs.
  • Booking all personal appointments.
  • Fast communication across various mediums; WhatsApp, Email, Telephone etc.
  • Working closely with business EAs.
  • Make considered efficiency and workflow suggestions and improvements.


Requirements:

  • Native / Bilingual proficiency in French.
  • 8+ years experience working in a Private PA capacity
  • Previous experience handling finances.
  • Highly trustworthy, discreet and confidential.
  • Complete flexibility to support out of hours as required and 24/7 availability.
  • Good longevity in previous roles.
  • High attention to detail & organised.
  • Reliable, mature.
  • Strong relationship-building skills and a ‘nothing is too much trouble’ attitude.
  • Ability to grasp the urgency of situations naturally, to prioritise and behave proactively.
  • Excellent communication skills, both verbal and written.
  • Resilience and problem-solving skills and able to see opportunities / always plan ahead.
  • Comfortable handling a high volume of confidential information.
  • Demonstrate enthusiasm and a strong sense of responsibility.
  • Strong PowerPoint, Excel and Word skills.


Ways of working:

  • This position offers flexibility for working from home, in an office (Mayfair) or in the CEO's household (London).
  • Currently open to part-time (2-3 days a week) or full-time. Please note if full-time, this will include both private and business support.
