Liberty Towers are excited to be working with a Prestigious Architectual Firm to find a Personal Assistant to assist one of the Founders.This is an important role within the practice to deliver first-class PA support to the Executive Director.


The successful candidate will have proven experience working as a PA at Board level in a team-based environment. This is a challenging and rewarding role where a creative, solution-based approach is imperative and excellent communication skills are vital to getting the job done.


Key Responsibilities

  • Diary Management: Extensive management of the Director’s diary using Microsoft Outlook, including forward planning, meeting preparation, booking rooms/venues, and coordinating all aspects of business and personal activities.
  • Inbox Management: Oversee the founder's inbox, including responding to emails on his behalf, drafting replies, and preparing necessary information. Collaborate with them during regular catch-ups for email dictation.
  • Regular Check-Ins: Schedule and conduct regular meetings with them to review his diary and outstanding tasks.
  • Gatekeeping: Act as a shield for the Director, handling calls and visitors professionally, taking messages, and maintaining a reliable tracking system to ensure follow-up actions are taken.
  • Client Liaison: Foster strong working relationships with current and potential clients, acting as a primary point of contact for their support.
  • Document Management: Handle all paperwork, including binding, scanning, and managing both paper and electronic filing systems using the centralised document management system.
  • Travel Arrangements: Organise global business trips and personal travel, including flights, hotels, trains, car hire, visas, and insurance for clients and staff.
  • Team Communication: Maintain daily communication with other PAs, members of the Practice Operations team, architectural teams, and support functions (HR, IT, Finance, Communications) to ensure smooth practice operations.


Job Requirements:

  • Proven experience as a PA at Board level or similar
  • Educated to A-Level standard or equivalent
  • Excellent command of the English language
  • Advanced IT skills, with expertise in Microsoft Outlook, Word, Excel, PowerPoint, and InDesign
  • Fast, accurate touch typing (minimum 60 wpm)
