About the Role:

We are seeking a highly organised and proactive Executive Assistant/Personal Assistant (PA) to support the HR Manager during a large and urgent project. This role requires a high level of discretion, exceptional attention to detail, and the ability to manage a variety of tasks ranging from administrative duties to supporting high-level strategic decisions made by the exec team.


Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the HR Manager and the wider team. This includes managing calendars, scheduling meetings, and coordinating arrangements.
  • Meeting Coordination and Minute Taking: Organise and prepare for meetings, including compiling agendas, distributing materials, and taking accurate and confidential minutes during high-level meetings.
  • Data Management: Utilise strong Excel skills to manage, and report on project-related data. This may involve creating and maintaining spreadsheets, tracking project progress, and generating reports for senior management.
  • Project Support: Assist in the coordination and execution of the project. This includes helping to prepare documentation, liaising with internal stakeholders, and ensuring all project-related tasks are completed accurately and on time.
  • Communication: Act as a point of contact between the HR Manager, directors, and other departments, handling communications with discretion and professionalism.
  • Documentation: Prepare, review, and manage sensitive documents related to the project, ensuring confidentiality and compliance with company policies.
  • Task Management: Handle a variety of tasks from low-level administrative duties to high-level strategic support, demonstrating flexibility and the ability to prioritise and execute tasks effectively.
  • Confidentiality: Maintain a high level of confidentiality and professionalism in handling sensitive information related to project.


Essential Requirements:

  • Proven experience in an Executive Assistant or Personal Assistant role, ideally supporting HR functions.
  • Exceptional administrative and organisational skills with a keen attention to detail.
  • Advanced proficiency in Microsoft Excel, including the ability to create complex spreadsheets and reports.
  • Strong minute-taking skills and the ability to produce clear and accurate meeting notes.
  • Excellent communication skills, both written and verbal, with the ability to liaise effectively with senior management and other stakeholders.
  • Ability to manage multiple tasks and prioritise workload in a fast-paced environment.
  • High level of discretion and professionalism, particularly in handling confidential and sensitive information.
  • Strong problem-solving skills and the ability to work independently as well as part of a team.


Desirable Skills:

  • Experience in HR or supporting HR projects.
  • Previous experience in fast-paced environment.
