Job Purpose:

We are seeking a proactive and experienced Facilities Assistant to join the team. This role is responsible for managing the post room and reception, leading a team to deliver exceptional customer service, and ensuring efficient front-line operations.


Key Responsibilities:


Reception Management:

  • Oversee the reception service, ensuring high standards of customer service.
  • Answer calls, take messages, and direct calls appropriately.
  • Welcome visitors and inform colleagues of their arrival, ensuring security measures are followed.
  • Book car parking spaces, room bookings, and taxis as required.


Post room Management:

  • Oversee the post room service, ensuring efficient operations.
  • Open and sort postal deliveries, maintaining governance processes.
  • Sign for and document all courier and specialist postal deliveries.
  • Maintain and top-up the franking machine.
  • Provide quotations and book couriers and reprographic printing jobs.
  • Answer telephone and email enquiries within agreed service levels.
  • Raise PO’s and receipt orders to ensure smooth running of services.


Procurement and Resource Management:

  • Act as lead for post room contracts, arrange supplier review meetings.
  • Liaise with Procurement Department to ensure accurate documentation for tenders.
  • Analyse tenders, purchase orders, and business cases.
  • Ensure purchases comply with the company’s procurement policies.
  • Monitor contracts and report non-compliance.


Person Specification:


Experience: Previous experience in facilities management, reception, or post room services.

Leadership: Strong leadership skills with experience in team management and development.

Customer Service: Excellent customer service skills with a professional and courteous manner.

Organizational Skills: Highly organized with the ability to manage multiple tasks.

Communication: Strong communication skills, both verbal and written.

Technical Skills: Proficient in using office software and familiar with reprographic and postal services.
