Role Summary
The Bid Manager is responsible for the end-to-end management of bids in line with the EQ Governance Process and acting as the right hand to the sales lead. You will act as the right hand to the sales lead assembling and managing a virtual Bid Team including Subject Matter Experts (SMEs) who are responsible for contributing to the bid solution and bid documentation throughout the end-to-end bid process.
Core Duties/Responsibilities
Manage the end-to-end bid process ensuring that it is adhered to including qualification, kick-off meetings, solutioning, theming, and independent reviews including red team reviews and sign-off.Establish and communicate detailed bid plans and bid trackers as applicable.Manage virtual bid teams and inputs from SMEs to required deadlines and key stakeholders, typically engaging with sales, solution/product teams, finance, commercial, legal and project management/delivery.Work with the Sales lead to develop a clear win strategy for each bid and ensure win themes are clear and compelling.Oversee all bid workstreams progress, chasing as necessary to ensure bid deadlines are met.Support the preparation and review of the commercial aspects of the bid.Track risks throughout the bid process.Contribute to the written proposal - both in terms of content and presentation ensuring responses follow standard formatting and quality standards as defined in the Bid Writing and Branding Guidelines.Ensure timescales are achieved at each step of the bid process, including all internal governance, while taking the initiative in setting realistic deadlines.Ensure on-time submission of compliant and commercially sound bids.Co-ordinate, prepare, review and support rehearsals for client presentations required as part of the bid submission.Be front facing to the client as required to support the sales lead.Drive continuous improvement, through post-bid reviews, both internally and with customers. Ensuring that lessons learnt and feedback is recorded and used for future bids.Assimilate information extracted from SMEs and re-write it into a defined style, ensuing that it is clearly articulated and easy to integrate into proposals.Where appropriate, tag content for inclusion in the content library at final draft stage of the bid.Provide training as necessary to SMEs regarding writing best practice, using MS Teams, etc.Build and maintain relationships with key stakeholders within the business divisions including undertaking monthly bid pipeline calls.Ensure all bids/pitches undertake the correct level of governance and sign-off for commercials through to deal completion - maintain bid information on the ‘Bid Workload’ spreadsheet ensuring accurate TCV and margin figures are held and any updates captured.Undertake ad hoc bid tasks as required by UKSS, including producing small ad hoc proposals, presentations and questionnaires; undertaking proofreading/formatting, content reviews, portal management, content library updates, training and improvement projects.Skills, Capabilities and Attributes
Excellent planning and project management skills.Excellent verbal communication.Strong inter-personal and influencing skills.Ability to develop effective working relationships and manage key stakeholders.Solutions and results orientated, - positive thinker, decisive and assertive.Solid understanding of sales and bid process.Good risk management skills.Has experience in leading cross-functional bid teams with demonstrable experience in extracting the right information from the bid team members and ensuring that this is translated into effective written messages; taking input from others in the team and re-writing if required;Must be confident and adept at challenging, questioning and influencing members of the bid team at all levels of seniority.Excellent attention to detail.Strong written English language skills.Ability to work under pressure.Strong academic background and/or extensive bid experience.
