Job summary

20 hours per week Monday -- Friday inclusive 09:30 -- 13:30 per day.

An exciting opportunity has arisen within Southern Health Foundation Trust (SHFT) to appoint an efficient and motivated Admin Team Co-ordinator to work within our Andover & Winchester School Nursing team based at either Andover War Memorial or Otterbourne and being flexible to work between the 2 sites. You will assist the School Nursing team in the development and maintenance of a quality administrative service across a defined area. You will provide support to the Admin Lead, Admin Manager and Clinical Team Leads in all aspects of activity relating to the Business Unit function

Using your initiative and working autonomously in referring issues to other relevant parties as appropriate, ensuring confidentiality and security of information is always maintained, whilst providing good customer service experience for all staff and patients/customers. The role includes answering phones, entering information on patient record systems, inputting of data for the National Child Measurement Programme (NCMP), Vision, managing emails, E-Rostering for the team, ordering of stationery and equipment and minute taking at team meetings along with other general administrative tasks. Applicants must have excellent IT skills, an NVQ in Administration and be prepared to provide cross-cover support to other teams and sites across the Area as required.

You will need access to a car, a full driving licence and insurance for business use.

Main duties of the job

Provide efficient administrative support to the service to include but not exclusive to:Being the first point of contact, provide non-clinical advice and exercise own judgement when dealing with enquires and independently communicate effectively on behalf of the team to service users and other professionally and promptly with telephone enquiries, taking and processing messages accurately and maintaining confidentiality at all times as per the Message Taking Policy and ensuring standards for customer services excellence are metMonitoring the generic email inbox and actioning in a timely manner.Ensuring safeguarding and other sensitive data is processed and entered correctly and in a timely manner, always adhering to data protection regulations.Keeping an accurate record and following up on all safeguarding invites, which can often contain highly sensitive data and informationReceive, sort and distribute internal and external mail, ensuring that important and sensitive information is brought to an appropriate and accurately record notes and actions of meetings such as Weekly Action Groups (WAGs) and other administrative of Insights reporting tool to support clinicians in caseload management including vulnerable children.Accurately make changes to undertake other administrative duties commensurate with this grade of post in agreement with the relevant line manager or Clinical Team Lead (CTL).

Qualifications

Essential

NVQ Level 3 or 2 A/ AS Levels or equivalent experience English and Maths GCSE or equivalent Full driving licence and access to car with insurance for business use.

IT Qualification RSA typing Level II NVQ 2 or equivalent
