PURPOSE OF THE ROLE

Responsible for managing the travel coordination of the firm's global business travel requirements. The role will support the Premises & Travel Operations Manager in managing relationships with both internal stakeholders and key suppliers and conducting related travel administration.

DUTIES INCLUDE:

The following list is not exhaustive but gives a flavour of the duties the Travel Coordinator will undertake: Takes responsibility for the firm's end-to-end travel process (from the point of booking to, where appropriate, reimbursement by clients). Responsible for managing any issues that arise before and during travel, ensuring that they are resolved quickly and effectively with escalation via the firms Travel Management Company as necessary. Uses problem-solving skills to address any issues or challenges that arise before / during and/or after the travel process Coordinates and delivers travel reporting including the production of statistical, financial and environmental reports using a variety of reporting tools (including Business Intelligence tools). Tracks and provides reporting on travel expenses, providing regular updates to management on travel costs, issues, and trends, ensuring that all travel arrangements are cost-effective and within the firms policies. Coordinates work efficiently and effectively to meet the travel needs of the firm. This includes assigning tasks, and providing guidance and support as needed using the firms travel workflow management system. Working alongside the Premises and Travel Operations Manager ensures that any travel policies and procedures are reviewed regularly and updated. Responsible for ensuring that the firm is kept up to date with any travel information and updates. Includes responsibility for the firms intranet pages in relation to travel. Monitors spend against the firm's travel budgets, to ensure business travel requests are within budget. Interfaces with the firm's Travel Management Company acting as the firm's internal escalation point for resolution of issues and development of service offerings. Manages feedback on the firm's travel suppliers or systems ensuring that complaints or disputes are managed to a successful conclusion. Works alongside key stakeholders on supplier selection and implementation projects. Maintains strong relationships with colleagues in Finance, IT and HR and across the firm's practice groups.

KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED (BESPOKE TO ROLE)

Our ideal candidate will need the following skills: Previous experience of working in a Corporate environment is preferred, and a minimum of 2 years experience within the travel industry. Excellent verbal and written communication skills Demonstrated ability to build and maintain effective working relationships with internal and external stakeholders and suppliers. Excellent organisational skills, detail-orientated, with the ability to effectively manage workload. High level of Microsoft Office skills, Word, Excel, PowerPoint and comfortable using bespoke software packages.  Resilient with a willingness to work flexibly to meet client needs.
