Key Responsibilities:
  • Provide administrative support to the Edinburgh Office Head, including diary management, email management, and organization of internal and external meetings.
  • Coordinate Board Meetings and team Strategy Away Days, including preparation of Board packs.
  • Manage internal and external presentations, including coordination with in-house creative and business development teams, external printers, and the post room.
  • Prepare and format documents, including audio/copy typing, letters, memos, minutes, schedules, mailshots, and reports.
  • Coordinate corporate travel arrangements, including UK and overseas travel, and prepare detailed itineraries and travel packs.
  • Attend team WIP meetings, minute taking, and ensure actions are followed up.
  • Help ensure all team members' mandatory training is up to date and promote training opportunities to support personal development.
  • Compose and prepare correspondence, including audio/copy typing, letters, memos, design documents, and newsletters.
  • Answer organizational mail, including email, correspondence, and requests for information.
  • Maintain team schedules, including diary coordination, organization of internal and external meetings, and booking meeting rooms and conference calls.
Requirements:
  • 3+ years' experience in a similar operations or administrative role.
  • Proficient using Microsoft Office.
  • Excellent standard of English grammar and spelling.
