About the Role
The Finance function at abrdn is seeking a skilled Global Travel Manager to join our team. This is a permanent role based in Edinburgh.
About the Department
The Finance function is led by the Chief Financial Officer and comprises four specialist, centralised teams, and three vector-focused commercial teams, supported by a small CFO Office to run the function.
The Global Travel Manager sits within the CFO Office and plays a pivotal global role, responsible for the successful delivery of travel across all our business areas, working closely with the Travel Management Company (TMC).
Key Responsibilities
- Coordinate training for EA/PAs, Business Managers, and wider business to enable self-service travel booking and reporting.
- Act as an approver for travel bookings and monitor notifications, liaising with bookers, travellers, and approvers as needed.
- Provide effective out-of-hours cover for travellers across time zones, working with Travel Managers in other regions.
- Manage the regional relationship with the TMC, including monitoring service levels and escalating issues to resolution.
- Support large events, VIPs, guests, and clients with travel bookings, using online booking tools and liaising with the TMC.
- Support global mobility programmes requiring extended accommodation.
- Contribute to the annual review of the travel policy, bringing insight on emerging market trends, potential risks, and opportunities.
- Drive sustainability and implement changes to policy and practices in response to industry developments.
- Work with procurement to manage the regional hotel program and negotiate airline and other travel programs.
- Ensure the TMC is informed of travel policy changes and implements them in a timely manner.
- Develop and provide regular and ad-hoc MI reports and dashboards to drive compliance with policy, manage travel costs, and implement category purchasing programs.
- Provide expert narrative to support management in interpreting MI, bringing industry insight and commercial awareness.
- Support the budgeting and forecasting process, tax reviews, and reporting, as well as company mobile roaming charge management and physical security team activities.
- Build and maintain a traveller and booker champion community to promote continuous improvement and effective engagement.
- Partner with the Expense and Control Lead to post travel costs, reconcile travel credit cards, and identify potential anomalies.
- Maintain processes and procedures for travel delivery and management, ensuring they are reviewed with the TMC annually.
- Monitor key controls and performance in accordance with the control framework, managing risk events in accordance with internal procedures.
About the Candidate Requirements
- Experience in booking and managing domestic and international travel services.
- Track record of managing travel services through a TMC.
- Detailed understanding of travel booking, ticketing, and visa expense processes, including reporting, duty of care, and regulatory requirements.
- Experience in managing a regional travel program and working collaboratively with procurement.
- Understanding of risk and control in the context of travel management and financial transaction processing.
- Experience of delivering to international business divisions.
- Experience of delivering within a support service culture.
- High levels of personal accountability and flexibility to prioritise and meet deadlines.
- Good interpersonal skills and a great teammate who can work collaboratively to deliver common objectives.
