Operations Coordinator

Job Summary:
Knight Frank is seeking a highly motivated and results-driven Operations Coordinator to join our Edinburgh Office. As an Operations Coordinator, you will provide an effective and efficient support service, coordinating the daily operations, processes, and efficiencies for the Edinburgh Office while also providing executive support to the Office Head and various teams.
Key Responsibilities:
- Administrative Support: Provide 1:1 administration support to the Edinburgh Office Head, including maintaining their schedule through proactive diary management, organization of internal and external meetings, and preparation of required papers.
- Board Meetings and Team Strategy: Coordinate all relevant meetings, including preparation of Board packs, and ensure a smooth process.
- Presentations: Coordinate and manage internal and external presentations with our in-house creative and business development teams, external printers, and the post room.
- Document Preparation: Prepare accurate and formatted documents, including letters, memos, minutes, schedules, mailshots, and reports.
- Corporate Travel: Arrange UK and overseas travel, prepare detailed itineraries, and travel packs as necessary.
- Team Support: Attend team WIP meetings, minute-taking, and ensure actions are followed up.
- Training and Development: Ensure all team members' mandatory training is up to date and promote training opportunities to support personal development.
- Correspondence: Compose and prepare correspondence, including letters, memos, design documents, and newsletters.
- Organizational Mail: Manage email, correspondence, and requests for information.
- Schedule Management: Maintain the team's schedule, including diary coordination, organization of internal and external meetings, and preparation of required papers.
Requirements:
- 3+ years' experience in a similar operations or administrative role.
- Proficient in using Microsoft Office.
- Excellent standard of English grammar and spelling.
