We are looking for an organised and dedicated Medical Secretary to deliver high quality secretarial and administrative support within our specialty department. This role is essential for ensuring smooth patient pathways and supporting our clinical teams in meeting critical Trust targets.

Comprehensive Administrative Support : Provide efficient and thorough medical secretarial services within the specialty, handling all allocated tasks to meet departmental needs. Team Collaboration : Work flexibly across specialty teams, supporting consultants and nurse specialists, and adapting to evolving service demands. Main duties of the job
Key Duties Include:
Data Management & Validation : Handle e-track queries and validate reports from Information Services. Communication : Manage incoming telephone inquiries, liaising with internal and external stakeholders professionally and promptly. Direct Support to Clinical Staff : Provide essential administrative assistance to consultants and nurse specialists, including diary and appointment management. Supervision of Band 2 Staff : Oversee and supervise Band 2 team members, including performance appraisals (MPAs). Clinic Management : Utilise the Clinician system to schedule or cancel clinics as needed, ensuring optimal clinic utilisation. Email Management : Respond to emails across multiple mailboxes, keeping communication smooth and organised.

Qualifications
Essential
Educated to GCSE level standard English Language at Grade A - C (or equivalent) RSA II typing or equivalent experience Audio typing qualification or recent relevant experience
Desirable
NVQ/BTEC Level 2 in Business Administration or Customer Services
Key Skills/Abilities
Essential
Can demonstrate evidence of good standards of written and verbal communication, and daily interaction with colleagues / members of the public at all levels Evidenced excellent organisational skills experience

Competent in the use of MS word / outlook

Knowledge and understanding of Confidentiality and the Data Protection ACT
