Description:
  • This position supports the TA Communications and PatientAdvocacy teams within Client location Public Affairs.
  • These two groups are responsiblefor external communications about the companys marketed andpipeline products and therapeutic areas as well as our engagementwith community / patient advocacy groups across all Clienttherapeutic areas.
Your primaryresponsibilities will include but will not be limited to: Administrative:
  • Scheduling meetings (including webconferences and teleconferences) while being conscious of locationtravel time and multiple time zones
  • Prioritizing external and internal meetingsbased on urgency
  • Organizing and maintaining department fi les andprocesses
  • Preparingexpense reports processing work orders and managing purchase orderson Client internal systems. Using discretion and judgment inscheduling appointments and telephone calls.
  • Preparing meeting agendas toinclude any relevant documents necessary.
  • Working confidently and efficiently whileengaging colleagues in many different Client work locations
Project/Departmental Management:
  • Managing short and longterm projects andinitiatives in collaboration with members of the Communications andPatient Advocacy teams
  • To include project tracking agency and Patient Advocacygroup followup Advocacy or media event planning and executioninternal coordination of Client attendance at external eventscrossfunctional project engagement with other Client partners)
  • Tracking team budgetincluding payment of invoices and orders working closely withFinance and agencies to monitor costs and assisting with monthlyreconciliation
  • Managing daily media monitoring distribution toDepartmental and Company leadership
EssentialDuties and Job Functions:
  • Supports manager andbroader team for tasks including travel arrangement expenseprocessing agreement and contract processing meeting coordinationand scheduling and onboarding of new employees
  • Project management
  • Tracks team budget purchaseorders and invoices
  • Triages incoming queries from the media / public
  • Manages routing ofmedia monitoring
  • Gathers collects records tracks and verifies informationfrom multiple sources and conducts internet searches as directedliaises with external agencies or organizations to coordinateactivities
  • Helps tocoordinate communications and logistics for external and internalevents
  • Interactswith a variety of internal and external stakeholders
  • Handles confidential informationwith discretion and in compliance with all regulations
Knowledge Experience and Skills:
  • Requires a minimum of a high school diplomaplus a minimum of 4 years administrative experience
  • Experience in regulated industryrequired healthcare or pharmaceutical industry experience preferred
  • Ability to work in afastpaced environment with changing priorities
  • Experience working withinmidlarge organizations preferred
  • Technically savvy able to learn nuances ofdifferent systems and databases
  • Experience working in databases specifically SAP orother financial systems
  • Excellent verbal written and interpersonal skills arerequired
  • Works underlimited supervision and may receive general direction on new linesof work or special assignments
