London, United Kingdom Mo-Sys Engineering Ltd Full time

This is a rare opportunity for an experienced events management professional to join a leading designer and manufacturer of advanced camera robotics and game-changing virtual technologies for film, TV, and live broadcast. At Mo-Sys, we frequently attend exhibitions to showcase our innovative technology. As our Events Project Coordinator, you will plan and execute our presence at these special industry events, from concept through to successful deployment.

You’ll report to our Chief of Staff and as well as working closely with our marketing team, you will also work directly with our visionary CEO, who is the drive behind many of our product concepts and innovations. You’ll be responsible for orchestrating the flawless preparation and execution of all events and tradeshows, collaborating seamlessly across departments to ensure timely planning, impeccable delivery, and a presence that consistently exceeds the high standards expected by our valued clients.

The ideal candidate will excel at multi-tasking, on the spot decision-making and will be skilled in all types of communication. They will have a true passion for Virtual Production and will work well under pressure, to tight deadlines. They will thrive in an environment where frequently shifting priorities is the norm. This is a fantastic opportunity for someone who wants to make a significant impact in a growing business.

What You’ll Do:

  • Responsible for end-to-end event execution; identifying, assembling, and coordinating requirements.
  • Establish contacts, developing schedules and delegating assignments where appropriate.
  • Secure and register vendors, working with them to plan event setup, as well as booth requirements.
  • Plan and strategically allocate annual event, exhibition and trade show budgets.
  • Collaborate with sponsors, guests and other departments, to ensure seamless operations and high-quality presentations.
  • Coordinate product kit lists, ensuring all equipment had been accounted for, including necessary cabling and accessories.
  • Ensure that all products have been tried and tested ahead of time.
  • Logistics management, such as travel and accommodation, administration and bookings. Coordinate requirements such as; security, insurance, equipment rentals, shipments and catering services.
  • Manage any challenges as and when they arise during and prior to events.
  • Ensure health and safety standards are adhered to during events.
  • Manage memberships and subscriptions.
  • Liaise with our partners, building relationships and negotiating contracts.

What We’re Looking For:

  • Ability to work well independently and autonomously, taking full ownership of events management.
  • Genuine curiosity for Virtual Production, with a passion for relevant technologies, a B2B background in this space is preferred.
  • A willingness to learn and understand our unique technology and workflows.
  • Prior experience as a Trade Show Coordinator or similar, preferably within the film, TV or broadcast industry.
  • Experience of delivering industry events (such as IBC, NAB, ISE, MPTS) would be advantageous but is not essential.
  • Critical thinker with strong problem-solving skills, and the ability to work towards tight deadlines.
  • Highly charismatic and engaging.
  • Experienced in managing budgets and tracking financial deliverables.
  • Strong organisational and time management abilities.
  • Excellent written and verbal communication skills, ability to engage stakeholders at all levels.
  • Ability to shift priorities and adapt to change at the drop of a hat, remaining calm under pressure, always prioritising customer experience.
  • An ambitious self-starter who can confidently work independently.
  • Ability to travel and occasionally work longer hours (for example evenings / weekends ahead of / during NAB in Las Vegas, Cinegear in LA, IBC in Amsterdam, shows in Asia, etc.)

Benefits & Perks:

  • Casual office environment.
  • Subsidised office lunches that promote healthy eating and encourage you to try something new.
  • While we request some flexibility from you, we’re also open to flexible work hours to accommodate a win-win situation for all.
  • We have a continuous development budget to put towards courses, training and conferences.
  • Private health insurance with AXA Health that covers many physical and mental health costs, including dental and vision cash back.
  • Gym membership discounts via AXA Health.
  • Group life insurance and a 24/7 Employee Assistance Program (EAP).
  • Cycle to Work scheme – we’ll buy a bike up-front, and you can pay it off over the next 12 months via a salary sacrifice scheme.
  • We organise occasional in-person office socials to make sure you have the opportunity to build on deeper trusting connections with peers.
  • 33 days base holiday (25 days + 8 bank holidays) including company closure between Christmas and NY.

Interview Process:

Our interviews are quite informal and conversational and generally are carried out over a 3-stage process. To help us learn more about your workplace behaviours and preferences, you’ll be invited to complete a short Behavioural and Cognitive Assessment. I would not leave this bit where it’s not required, just for Assembly and Software guys. Depending on the position, you may also be requested to undertake a technical assessment. The final stage normally involves a visit at the office and meeting with senior members of the management team.
