Job summary

An exciting opportunityhas arisen to work within the Specialist Palliative Care Team based at StBenedicts Hospice as a Medical Secretary.

The post will form part of a job share with another medical secretary, workingMonday and Tuesday between the hours of , base St BenedictsHospice.

The post holder will actas a pivotal role for all communication with patientsand professional health colleagues within the multi-disciplinary team, internaldepartments, and external agencies as necessary, to ensure continuity ofpatient care.

The post holder will be friendly, empathetic anda great team player.

Main duties of the job

This is a part-time role of 15 hours per week.

To provide acomprehensive and effective secretarial service to the Consultants and medicalstaff at South Tyneside Specialist Palliative CareTeam and other members of the specialist palliative care team.

To provide a competentsecretarial service to the Consultant and his/her team, making decisions andtaking action on matters of a non-routine nature on their behalf.

To ensure Meditech V6/Emisis accessed and utilised in a manner appropriate to the service, working inreal time.

They will provide personal assistant (PA) duties for a consultant/groupof consultants including assisting in the organisation of the Consultantsworkload including their clinics, ward rounds, ensuring full capacity isachieved and working at least 5-6 week ahead for planned activity whereappropriate.

They will be maintaining the consultants diary, organising, andarranging meetings as necessary and notifying relevant stakeholders regardingholidays and study leave.

Dealing with patient queries and communicating with internal and outsideagencies such as Social Services and other hospitals. Answering telephonecalls, resolve enquiries and re-direct calls using a warm, smooth handoverapproach.

To maintain a waitinglist position that meets national and local standards and CQUIN whereappropriate.

To assure theDirectorate Management team of a valid and contemporaneous waiting list positionthat meets national waiting time requirements.

To complywith the Trusts vision, values and behavioural compact.

Person Specification

Qualifications

Essential

OCR/RSA3 typing/word processing/business admin or equivalent experience. Good standard of general education including GCSE in English.

Desirable

AMSPAR Diploma. Audiotyping certificate.

Physical Requirements

Essential

To work under pressure to tight deadlines. To work independently or as part of a team. To deal effectively with patient enquiries. To use initiative to problem solve.

Experience

Essential

At least 2 years recent experience in a medical secretarial role or relevant experience in a healthcare setting. Experience of a full range of secretarial procedures including diary management and arranging meetings. Experience of minute taking. Experience of audio typing.

Desirable

Ability to read and analyse data. Knowledge of current legislation re data protection.

Skills, Attributes and Knowledge

Essential

Knowledge of medical terminology. Knowledge of Microsoft Office Packages. Understanding of palliative care. Knowledge of EMIS system and/or Hospital Information System (Meditec).

Desirable

Willing to undertaken necessary additional training.
