Position

An opportunity has arisen for a permanent Team Secretary based at Ailsa Hospital.

What you will do:

You will assist and support the Senior Manager and secretarial team providing a high level of administrative/clerical support encompassing a wide variety of secretarial duties including diary management, preparation of papers, minutes and general personal secretarial services. 

Based at Biggart Hospital you will work closely with senior staff across the organisation and act as the first point of contact for the Senior Business Support Manager, often dealing with matters of a confidential and sensitive nature.

Knowledge, training and/or experience required to do the job:

With experience in Business Administration or recognised medical secretarial qualification, you will demonstrate excellent communication skills, both written and verbal. Relevant experience of medical terminology is also required. You will be able to deal effectively with a number of simultaneous tasks and have the ability, commitment and judgement to ensure deadlines and actions are delivered.

You should ideally have experience of working within a health care environment and excellent knowledge of office based IT packages, including Word and Excel skills. Administrative experience is essential, which includes attending meetings for the purpose of minute taking, diary management, and willing to work as part of a team or progress work on initiative.

Hours: 20 per week, working Monday to Friday 9.00am-1.00pm.

From 1 April 2024, the working week for NHS Agenda for Change workers in Scotland will be reduced. Full-time hours will reduce from 37.5 to 37 hours (pro rata for part-time staff) without loss of earnings.

NHS Ayrshire and Arran will implement this change but it may not be possible to fully transition from 1 April and there may therefore be some areas of the organisation where implementation may take longer. If the department is currently unable to safely accommodate the reduced hours from 1st April, you may be required to work 37.5 hours per week (pro rata for part-time staff) until the department can meet the requirements without impacting patient safety - you will, of course, be remunerated accordingly. NHS Ayrshire and Arran is committed to full implementation of the 37 hour working week across all areas as soon as it is safe to do so.
