The role of the Public Health Department of NHS Ayrshire & Arran is to deliver on the public health functions associated with public health protection, health intelligence, health improvement and environmental health. This includes the provision of strategic leadership for the populations’ health and responding to health inequalities, the provision of expert advice and guidance to support the promotion of health improvement.

You will be responsible for providing a confidential and comprehensive secretarial and administrative service to senior managers, managers and officers in the Public Health Department, but with specific responsibility for supporting Child Healthy Weight and Workplace Health Improvement teams.

**Key responsibilities of the post holder will include**: Proactive management of officer’s diaries; Meeting management, from arranging meetings to preparation of papers, providing minutes and follow up information; Organise training events/seminars, including booking venue, advertising of event, contacting speakers, preparing delegate packs and ensuring smooth running of event; Deal with all telephone enquiries; Liaising and communicating as necessary relevant information to stakeholders within and out with NHS Ayrshire & Arran; Processing of various internal admin such as study leave, travel tickets, etc; File and data management, maintaining confidentiality at all times and be aware of the requirements for data protection and Freedom of Information; Maintain continuous professional development.

You will have knowledge and experience of using MS Office, be punctual and well organised, proactive and able to work on their own initiative.

You will have excellent communication skills in person, by phone and online. You will hold a relevant secretarial or administration qualification and have experience of providing secretarial support to a busy, dynamic team.

The 30 hours per week post will be split evenly between the two teams. Pattern of work negotiable.
