Job summary

The Clinical Administrator at Schoen Clinic York willprovide efficient, effective and professional reception and administrative support services within a unique, fast-growing service alongside a multi-disciplinary team. You will also be required to assist other Clinical Administrators in providing administrative support for the Clinic during periods of absence and annual leave.

Main duties of the job

Meeting and greeting patients, visitors, consultants and colleagues at reception; acting as the main point of contact for any enquiries. Sort all incoming post and deliveries. Manage outgoing post. Re-stocking of information leaflets, updating of reception sign-in sheets and notice/information boards as appropriate. Comply with Health and Safety obligations, fire safety and act in a manner that promotes a healthy, safe working environment in accordance with Schoen Clinic policies. Oversee the Referrals inbox by liaising with Clinical Team to respond and/or redirect as appropriate. Liaise with IT Support providers to set up all colleague new starters on IT systems and support with queries where possible. Compile paperwork for new admission folders and utilise electronic patient record system to consistently update team with relevant documents/information. Awareness of the Mental Health Act and Mental Capacity Act to support the MHA Administrator in the tracking and storing of required paperwork. Be responsible for the administration and distribution of petty cash to patients and reconciliation of receipts. Monitoring and ordering of both stationery and medical sundries. Manage meeting room bookings via Microsoft Teams and Outlook calendars, approve bookings, notify of any clashes ensuing optimum efficiency of the meeting rooms. Act as Minute Taker for both colleague and patient meetings including CPAs and MDTs when required.

Schoen Clinic York is a highly specialised Hospital for adults in the North of England. We are currently based on the ground floor of Minster Grange, and in July 2024 will be expanding to cover the full building with other service lines including Dementia care. We are situated just off Haxby Road which is 10 minutes drive from York Train Station and 4 miles from the A64.

Person Specification

Experience

Essential

Strong understanding and respect for confidentiality. Excellent interpersonal skills. Excellent verbal and written communication skills. Self-motivated and self-starter with the ability to prioritise and schedule work independently. Highly organised, detail orientated and analytical. Maintains a professional conduct at all times, remaining calm and in control. Experience of working in a reception/administration role within a team orientated office environment. Experience in accurate minute taking and report writing. Experience and proficiency in Microsoft Office and other IT systems.

Desirable

Understanding of MHA & MCA. Understanding of the treatment of eating disorders. Confident in taking telephone enquiries from patients, healthcare professionals and general public. Experience of working within a healthcare setting. Demonstrates an awareness and commitment to equality and diversity. Experience of using IT based patient record systems. Experience minuting MDTs and Patient meetings.

Qualifications

Essential

A good standard of education including GCSEs in both Maths and English. Can demonstrate clear evidence of continued professional development.

Desirable

Further qualifications relevant to the role.
