Job summary

The purpose of this role is to support the administration of cancer pathways by tracking the progress of patients with suspected cancer from referral through their diagnosis, first definitive treatment (FDT), and subsequent treatment if applicable.

The post holder will liaise with clinicians, administrators, and managers in each tumour group as well as support services such as diagnostics to assist with the compliance against Cancer Wait Times (CWT) standards. This role should ensure comprehensive patient tracking in order to expedite and achieve faster diagnosis (FDS).

Particular areas of focus will include maintaining precise records of key pathway dates and seeking/requesting auditable evidence to demonstrate the meeting of standards such as FDS, Inter-Provider Transfer (IPT) and FDT. The post also supports the running of regular Multidisciplinary Team meetings (MDTs), including recording outcomes and ensuring comprehensive data entry, COSD.

Main duties of the job

The post-holder will work collaboratively with existing Trackers/MDT Coordinators, Cancer Data Administration, and the Cancer Data/Performance Manager to document cancer pathways and manage the Priority Target List (PTL).

The role involves keeping a comprehensive record of clinical events, expediting and escalating where necessary to ensure timely appointments and maintain progress against best-timed pathways to achieve CWT.

The role includes regular communication with external organisations to arrange diagnostics and Inter-Provider Transfers (IPT) in order to progress patient care.

The post-holder will be required to work across a range of IT systems and to be able to undertake a broad range of administrative tasks. The post-holder will provide statistical reports and data summaries where appropriate.

The post holder is expected to be experienced within the hospital setting with some knowledge of specialised terminology, educated to a level required to perform the role or equivalent experience.

Job responsibilities

To be proficient in all IT systems relevant for the role; To ensure patient treatment plans and multi-disciplinary team decisions are recorded, transferred into medical notes and are updated on the relevant electronic systems, ensuring feedback to appropriate referring Trusts where necessary. To input outcomes data into the local systems in a timely manner during the MDT or immediately after the MDT, ensuring data accuracy. Take responsibility for ensuring departmental resources are maintained and utilised appropriately, maintain adequate supplies and ensure equipment is kept in good condition. To proactively liaise with clinical teams and supporting staff in order to facilitate administration related to clinical work. Provide early detection of logistical problems and escalate appropriately; Supporting data collection for audit purposes and quality assurance; Tracking of patients by updating relevant systems where appropriate. Provide support to more junior colleagues, including some supervision and training. Actively be involved in the continued design of the service; To be proactive in seeking ways to improve the administrative management of patients records and appointments. Prepare and circulate lists of patients for discussion at each multi-disciplinary team meeting (MDT) using information provided by secretaries, lead clinicians and nurse specialists. To prepare and collate all the documentation, patients notes, x-rays, pathology results/slides required to support each meeting, thus enabling the smooth running of the MDT meeting. To attend the multi-disciplinary team meetings, keeping comprehensive records of attendance and outcomes of the meeting, and distributing to relevant team members. To ensure timely and accurate input of the outcomes of the MDT meetings onto local patient administration system To check with the chairperson that all the information is correct and complete. To ensure that following the meeting all actions recommended by the team are followed up and that a record of the actions proposed has been filed in patient records. To manage systems that informs referrers and consultant colleagues of patients treatment plans and decisions taken at MDT meetings. To ensure all MDTs are covered if there is any sickness and to ensure that annual leave is covered by oneself or other members of the team. Continuously develop and support existing policies and procedures to improve the booking and tracking of patients. Help to ensure patient safety, quality and experience across the service; Act as a liaison and point of contact between clinical teams and Cancer Services Sharing of sensitive and complex information To be responsible for imparting information about the technical area of knowledge to other health care professionals as appropriate; To be responsible for managing own daily timetable of delegated tasks including time for supervision and training; To maintain professional working relationships within the Trust, and other relevant organisations; Demonstrate an awareness of the limits of own practice and knowledge and when to seek appropriate support /advice; An ability to work in stressful situations to ensure operational standards / targets are met and adhered to; Support the development of services in order to meet the requirements of patients and service users; Light physical, mental and emotional effort/keyboard work for long periods. Qualifications, Knowledge and Experience

Essential

Good General Education with GCSE English and Mathematics Relevant Health or Social Care experience Level 3 Health or social care qualification ( NVQ or similar) ECDL or equivalent IT experience

Knowledge/experience using results systems in a medical context. Level 4 Health or social care qualification ( NVQ or similar)
