About the role

The HR Shared Services Administration Manager is responsible for overseeing the day-to-day HR administrative tasks within the business. This role will lead a team of HR administrators, ensuring efficient and accurate processing of HR transactions and compliance with company policies.

Key Responsibilities:

Leadership and Team Management:

Lead, mentor, and manage a team of HR administrators. Coordinate workload distribution and ensure timely completion of tasks. Conduct regular team meetings to communicate goals, updates and best practices.

HR Administration:

Oversee and ensure the accuracy and efficiency of HR administrative processes including employee records, onboarding, offboarding and employee data management. Responsibility for the issue and receipt of Enhanced DBS checks. Manage HRIS data entry and maintenance, ensuring data integrity and confidentiality. Coordinate with payroll to ensure accurate and timely processing of employee compensation. Develop and manage Service Level Agreements (SLAs) within the business and ensure delivery.

Process Improvement:

Work collaboratively with HR Business Partners to identify and implement opportunities for process improvements and efficiencies across all aspects of the HR function. Work collaboratively with HR Business Partners to develop and maintain standard operating procedures (SOPs) in relation to HR policies and procedures. Collaborate with the wider HR team to optimise the use of HR technology and systems. Work with IT to ensure the HR technology used to deliver services is fit for purpose and can support business requirements. Coordinate with cross-functional teams to achieve project goals.

Compliance and Reporting:

Ensure compliance with all relevant employment laws and company policies. Prepare and analyse HR reports to provide insights into HR metrics and trends. Manage internal and external audits related to HR administration.

Employee Support:

Act as a point of escalation for HR administrative issues. Provide guidance and support to employees and managers on HR policies and procedures. Collaborate with the business to ensure the services offered by the HR Admin team are aligned to the needs of employees and the business. Foster a positive and collaborative work environment with the wider HR team including HR Business Partners, Recruitment and Payroll.

Team Structure:

3 direct reports

Experience & Qualifications:

5+ years experience in HR administration, with at least 2 years in a supervisory or lead role. CIPD qualified to at least Level 5, degree calibre preferred. Experience or working within a regulated business would be desirable.

Skills:

Ability to deliver a high-quality HR generalist service. Strong knowledge of HR processes, policies, and employment law Proficiency in HRIS systems and Microsoft Office Suite. Excellent organisational and time management skills. Strong analytical and problem-solving abilities. Exceptional communication and interpersonal skills. Ability to maintain confidentiality and handle sensitive information. Stakeholder management skills. Strong feedback and coaching skills to support the continuous development of the HR Admin team.
