South Coast Nursing Homes  is an established and successful, family owned and managed, care home company based in Worthing, West Sussex.

We currently operate 9 homes across East and West Sussex. We have 414 beds, each registered home offers the highest standards of resident care and comfort, 24 hours – day and night, for long and short-term stays.

We are recruiting for a Home Administrator to join the team at White Lodge Residential Home , in East Preston, near Littlehampton The role is to provide the necessary administrative support to the Home Manager, working closely with all the Head Office functions, to ensure a smooth approach across the business. 

The ability to work unsupervised is paramount, as is the capability of holding multiple pieces of information at the same time. Working in a methodical, structured way, will ensure that deadlines are achieved and the home runs smoothly. Principally, your ability to get on with people – be they our residents, their families, or fellow colleagues, will be the key to success in this role.

Its not necessary that you have a Care Home background – its about you and your abilities to be a powerful administrator, a key support to the Home Manager, and often, the face of our business to clients, prospective clients and our colleagues. This really is a central position to the Home, and liaising with Head Office will be a regular requirement.

The ideal candidate for this role would have some payroll and accounting knowledge, together with an ability to learn quickly whilst in the role. The team is committed to providing professional, respectful and quality care within a safe home environment.

Hours: 30 hrs p/w, 8am - 2pm, Monday - Friday (can be flexible on start and end times)

Job responsibilities:

Daily coordination of staff rotas using the Dayforce system – this includes ensuring adequate cover is maintained across all functions for every day of the year and even within a single day, when changes often happen – annual leave control; absence management; proactively managing gaps in the rota; changes to staff contracts; maintaining personal details ; communicating to cover shifts ; pay queries; dismissal letters. Payroll on Dayforce Proactive recruitment planning in liaison with Head Office – attending the weekly recruitment meeting and head of department weekly meetings. Maintaining staff files; Arranging inductions for new starters – rota pattern, order uniform, Nourish log in; Arranging staff training sessions, liaison with the Training Department Booking agency, keeping a tracker updated and controlling costs – providing agency information to Head Office, as required. Maintaining residents’ files; communicating residents Dr./Dental etc appointments to managers / diary; delivering post to residents; notifying WSCC of departures. Keeping residents’ valuables secure. Completing attendance allowance forms for residents and sending to DWP Producing and sending letters; Reference requests; Supporting as a witness to sensitive issues within the Home, guided by the Home Manager Taking residents off the system when they pass away and sending credit notes – updating NHS and / or local authority. Provide support and feedback to the Home Manager – being their “eyes and ears” and able to appropriately filter their findings Residents invoicing and any queries that arise FNC and CHC funding queries Approving invoices for suppliers and agencies Keeping up to date with the enquiry process of prospective new admissions Petty cash management Aged debt chasing outstanding and communicating to Head Office and managers Sending out brochures to people enquiring

Hands on in their approach and a can-do attitude – able to work on your own initiative – a real problem - solver An ability to think on your feet and under pressure when dealing with multiple tasks Good communication skills and the ability to get on with people but be able to act with confidence when dealing with staff, residents, managers, directors and contractors IT skills such as Excel, Word, MS Office etc. Accuracy and attention to detail are essential A caring nature and ability to empathise with our residents and their families Has high professional and moral standards
