Executive Assistant - 12 months maternity cover - London

Executive Assistant - 12 months maternity cover (available from October 2024)

We are currently looking for an experienced Executive Assistant to provide assistance to the Chief Financial Officer, Creative Director and Property Director.

Responsibilities

Typing correspondence, drafting letters and emails.

Diary management and managing expenses.

Regularly liaising with design companies in helping to coordinate sample deliveries for the design to view ahead of meetings.

Planning transport and itineraries for both domestic and international business trips.

Keeping track of documents which require sign off from Directors.

Coordinating proposals and valuations as required.

Updating and maintaining files and internal systems.

Effectively co-ordinating tasks and actions while managers are travelling.

Confident and efficient handling of client contact and relationships.

Effective liaison with other departments and international colleagues, in particular coordinating with all Artfarm locations to ensure a seamless service.

Coordinating meetings and project and conference calls.

Organising lunches and assisting with arrangements for dinners.

Dealing effectively with general queries, problem-solving and following tasks through to completion.

Supporting administration linked to personal life as required.

Ad hoc projects or support to other Executive members as and when required.

Ideal Experience & Competencies

Possess exceptional diary management skills.

Hospitality background preferred.

Possess excellent secretarial skills and be dependable, flexible, discreet and diplomatic.

Computer literate, with excellent knowledge of Word, Excel, Outlook and PowerPoint.

Possess excellent communication skills (both written and spoken).

Well organised, with a good eye for detail and the ability to prioritise tasks as well as being able to adapt to a fast-paced ever-changing environment.

Enjoy trouble-shooting and using initiative.

Be a team player, capable of working well as part of a busy, highly pressurised team, with good interpersonal skills and a friendly and approachable manner towards both clients and colleagues.

Enthusiastic with a flexible approach and exceptional client service skills.
