Your mission

Dunbar-based, Ocean Science Consulting (OSC) is looking for an Office Administrator (OA) to join the team of a thriving international marine consultancy, with a focus on marine-mammal conservation for industry. OSC seeks the OA to support the company and its subsidiaries. This will involve assisting the on-site Office Manager (OM) with management of the internal and outsourced business administration team (e.g. answering incoming phone calls and welcoming office visitors, ordering office supplies and office equipment, travel & logistics, word processing and data entry etc.). This job is effectively everything and anything to do with assisting the OM with the overseeing of a successful firm, its subsidiaries, and Dunbar Storage Solutions (DSS, www.dunbarstoragesolutions.com), OSC’s Dunbar-based storage firm. This position requires presence in the office on a daily basis.

Example responsibilities to assist with:

  • First point of contact for phone calls for clients;
  • Coordinating domestic and international logistics (e.g. flights, transfers, accommodation, etc.) sometimes across numerous time zones for multiple people and projects;
  • Addressing time-sensitive tasks at pace;
  • Menial tasks such as scanning and filing;
  • Supporting OSC’s subsidiary business, Dunbar Storage Solutions, including client contracts, payments, walk-in customers, phone calls, etc.;
  • Organising complex itineraries; and
  • Maintaining strict confidentiality;
Your profile

Required:

  • Interested in marine consultancy and wildlife conservation;
  • Interested in handling all aspects of administration associated with www.osc.co.uk, www.oceanscienceconsulting.gr; www.osc-nz, and www.dunbarstoragesolutions.com;
  • Articulate and a good communicator;
  • Ability to organise time effectively, prioritise, and work to deadlines;
  • Great attention to detail;
  • Ability to exercise discretion, respect, and confidentiality; and,
  • Trustworthy and reliable.
The role involves assisting the OM in all aspects of business administration associated with an established (2004), successful, international marine consultancy (www.osc.co.uk), its subsidiaries, and various assets (e.g. properties, vessels, et.).  More details will be explained during the interview.

Qualifications, skills, & experience
  • IT and tech-savvy, e.g. understanding of Microsoft Outlook email/calendars/Teams, time-zone adaptations, etc.);
  • Microsoft Word, Excel & PowerPoint;
  • Good writing, spelling, grammar and punctuation, verbal, and numeracy skills;
  • The ability to organise and prioritise tasks and workloads reliably and without prompting; and, 
  • A lover of all animals (Directors often rescue wildlife and dogs) and wildlife conservation.
