Our client, a leading accountancy and business consultancy firm is seeking a Facilities Administrator for a 6 month contract to work on a hybrid basis from their London City office.


You will play a vital role in ensuring the smooth operation of facilities and maintenance services across multiple locations. This position requires a combination of strong administration, organisational, and communication skills, along with excellent customer service abilities.


Key responsibilities include:

  • Allocating and managing tickets, updating customers via ticket, email, and phone, arrange jobs for contractors, and closing tickets upon completion.
  • Ensuring accurate filing of service records and maintaining an organised filing system.
  • Liaising with suppliers, verifying invoice details, checking coding and ensuring auditability of invoices.
  • Obtaining quotes, placing orders, processing delivery notes
  • Tracking and processing internal recharges for various services.
  • Maintaining the supplier list, setting up new suppliers, managing supplier relationships.
  • Liaising with internal and external stakeholders.


About you:

  • You will be comfortable with a desk based role that is highly administrative in nature.
  • You will need strong data input experience
  • You will have experience in handling invoices
  • You will have provided facilities helpdesk support in a previous role.
  • You will be a good administrator and you will be a confident excel user.
  • Experience with Freshdesk (helpdesk software) and Business Central (invoicing platform) would be a great advantage
  • Some experience in the repairs and maintenance sector or a trade-based background would be useful.
  • Understanding of finance processes, including invoice coding, tracking, and reporting.
  • Experience in producing reports, KPIs, performance targets, and dashboards using tools like Excel, Power BI, and other reporting platforms.
