What you’ll do

As a Facilities Coordinator, you’ll work across a diverse range of areas including managing the oversight of the London WeWork office. This includes actioning any day to day facilities enquiries and collaborating with vendors to ensure the smooth running of the office. There will also be the management of IT hardware inventory, assisting with new hire onboarding and leading the set up for all countrywide meetings.


The Facilities Coordinator will have a focus on anticipating needs, presenting a professional and approachable image, and delivering prompt and positive action which makes every interaction simple and effective to deliver an exceptional workplace experience.


This role reports into the Director of People & Strategy. Strong communication skills and attention to detail are essential for success in this role.


Key responsibilities

  • First point of contact for London office related facilities requests.
  • Managing office WiFi
  • Setup and coordinate video conferencing and AV systems
  • Assist in improving and maintaining office presentation and tidiness
  • Manage office storage space
  • Liaise with building management on security, facilities and other office issues
  • Work alongside our MSP to manage specific London Helpdesk incidents, resolve or escalate to Level 2 IT
  • Perform office management and reception tasks in a highly professional manner
  • Oversee collection of inward and outward mail, arranging couriers, running errands
  • Manage employee onboarding and offboarding requirements for new hires including coordinating new starter’s equipment and helping with building tours
  • Schedule online and face to face meetings when required, manage conference room availability and bookings, assist with audio visual requirements and meeting room set up
  • Support and manage all-staff comms in relation to topics such as office administration, building updates/outages/maintenance
  • Ad hoc projects as required


Your Skillset:

  • 2+ years of experience in a similar role within a corporate environment
  • Strong knowledge of Microsoft Office applications (Excel, Word, PowerPoint, Teams & SharePoint)
  • Previous experience with Workday would be desired or any other ERP
  • Experience in developing and enhancing processes and procedures related to facilities management
  • Highly motivated and energetic with excellent written and oral communication skills
  • The ability to remain focused while multi-tasking, with a hardworking, professional attitude
  • Strong organizational skills and great attention to detail
  • A great work ethic and the ability to work independently and to a high standard under pressure
  • Knowledge & experience in working with AV systems and meeting room configurations (e.g. Clickshare)
  • Able to respond quickly to change and adopt a flexible/innovative approach to problems and opportunities
  • Experience with Workday is desired but not essential
