Role Overview

We are recruiting an Assistant Facilities Manager to join our Facilities team. The facilities team is versatile, flexible and includes the reception and hospitality areas of the building. We are a team with a can-do attitude willing to support each other to deliver services on time. Ensuring the smooth running of the hospitality suite and open plan office space, presenting a professional and polished welcome to staff and clients always.

The successful candidate will ensure the smooth running of our Thomas More Square office, meeting health and safety standards. You will also be responsible for supporting the facilities manager with office move planning, line management and the general administration function of the facilities team and provide specific support to the team during staff absence.

Working closely with the facilities manager at Thomas More Square you will present a smart working environment to the standards expected, ensuring all health and safety standards are met, ensuring the monitoring of services and risks to staff well-being are recorded and actioned according to priority in a timely manner.

This role is based in our Thomas More Square office 5 days a week, Monday to Friday.

What will I be doing?

  • Supporting the facilities manager with small building projects.
  • Assisting with the implementation of any changes in the workplace.
  • Responsible for client first delivery of the hospitality suite, ensuring all clients receive an excellent standard of service.
  • Maintaining good standard of health and safety reporting data ensuring training of staff is up to date and organising training as required to meet current Health and safety standards.
  • Managing and maintain work & health risk assessment both internal and external ensuring all assessments are recorded and stored on the relevant system.
  • Managing day to day external contractor deliverables ensuring external contractors complete work and sufficient checks are made before works are approved and signed off as completed.
  • Liaising with the Facilities Manager to resolve issues with faulty hard services including equipment and cable management in meeting rooms and open plan offices.
  • Providing support to the team during busy times e.g. holidays and absences
  • Providing support to the facilities Manager, reporting any building faults requiring specialist maintenance intervention and on-going maintenance
  • General ad-hoc administration

  • First Aid, Ergonomic, NEBOSH and / or IOSH qualification
  • Excellent written and spoken communication skills
  • Strong MS Office skills
  • Excellent understanding of Health and Safety in the workplace and/or first aid trained desirable
  • IWFM qualification or experience in a facilities management role
