The Job:

As Temporary Office Manager you will be responsible for the maintenance of facilities and services in the Bristol office and will look after the following:


Health, safety, and compliance

Working with the UK Finance Director and wider management team to ensure that legal obligations are met (Health and Safety and Fire Safety) to create a safe and collaborative working environment.

Arranging appropriate fire marshal and first aid training as well as co-ordinating monthly meetings.

Ensuring that timely updates to policies and risk assessments are completed and that items such as DSE assessments are up to-date and any follow-up actions are completed

Monitor and ensure that any accident/incident reporting is completed in a timely manner

Working with local management to ensure that appropriate mitigating actions are in place with regards to outbreaks of contagious diseases


Facility management and vendor relations

Ensuring that all required third party services to the office are provided in line with agreed contracts; monitoring and liaison with relevant service providers including office cleaning, fire safety equipment provision and servicing of such apparatus (e.g. printers/coffee machines).

Dealing with broader site issues such as security, car parks and relationships with neighbouring offices/landlords.

Management of third-party sub-contractors working on our premises and ensuring that they have safe methods of working and complete appropriate risk assessments/visitor forms.


Administrative and office support

Ordering and monitoring office supplies and processing the relevant invoices.

Managing files and storage of such records in line with record retention policy and ensure safe destruction at appropriate point.

Preparation and co-ordination of office announcements and other communications (including preparation and PowerPoint slides).

Help co-ordinate visitor arrivals with travel and office arrangements

Planning and organising company and team events

Sole responsibility for the reception desk/area including fielding calls, opening and franking post, arranging UPS deliveries, welcoming visitors, receiving deliveries.

Office planning and improvement

Able to support any office improvement, desk utilisation or planning initiatives


Experience required:
