Role Description

We are seeking a skilled and experienced Medical Concierge and Practice Manager to join our team on either on a contract or full-time basis. Based in London, you will be responsible for providing personalised medical concierge services to our clients, including scheduling appointments, coordinating medical treatments, arranging travel arrangements, and ensuring that our clients receive the best possible care at all times. You are not required to have medical qualifications as you will not be responsible for diagnosing our members, although experience working in a medical setting would be an advantage. You will also be responsible for running the clinic according to CQC standards, managing stock, processing diagnostics administration and supporting our GPs with medical administrative tasks.


Responsibilities (not limited to):

  • To takeover administrative tasks and handle incoming phone calls and emails during working hours.
  • Manage dedicated members, offering reassurance and peace of mind.
  • Out of hours triage service (when working out of hours)
  • Securely transfer the Member to the GP as and when appropriate to do so, according to the SOP’s and guidelines.
  • To support the tasks by delivering timely referrals, and documentation management provided in the clinical system specific to patients as directed by the clinical team.
  • To input data correctly and securely into our Practice Management CRM, Semble
  • To support the process of electronic referrals.
  • To process patient correspondence using the current document management system,
  • To participate in coding patients' records in line with coding protocols.
  • Work proactively with all members of staff including directors and clinical staff to improve quality processes


Qualifications

  • Experience in practice management or a clinical environment
  • Experience in concierge services or a related customer service field, ideally within the luxury sector for HNWI
  • Excellent communication and interpersonal skills
  • Strong organisational and time-management skills
  • Ability to multitask and prioritise competing demands
  • Willingness to work flexible hours, including evenings, overnight and weekends as needed
  • Strong problem-solving skills and ability to work independently
  • Ability to maintain confidentiality and discretion at all times
