HR & Reward Administrator

Saffery Champness are looking for an efficient HR and Reward Administrator to join our London office. You will be supporting the HR team and providing high quality service to the staff and partners, acting as a primary contact for all Reward and Benefits queries for the team and providing administration support both to the Reward and Benefits and wider HR team.
It should be noted that the HR team is currently undergoing a transformation project and therefore this role will be integral in helping to embed the change/new way of working into the business.
The role
**Reward**:
- Dealing with and escalating, where appropriate, all (including employee benefits) queries
- Deal with all IR35 queries and rules to ensure compliance for both the firm and the consultant
- Administering all monthly payroll reporting schedules for UK and Dublin and ensuring that the required changes are processed accurately and timeously
- Working closely with the Payroll Assistant Manager in most processes to ensure mutual efficiencies and quality of standards and processing.
- Resolve day-to-day queries relating to payroll and benefits, or escalate where appropriate.
- Ensure that all exiting employees have been captured in the payroll and affected changes to their employee benefits
- Ensure that all changes are captured correctly with regards to maternity leave, and other leave.
- Completing the monthly overtime report (adjusting rates for each employee to ensure they are paid the correct rate for overtime worked)
- Review overtime schedules to check for wellness trends which can be escalated to the broader HR team
- Liaising with the internal finance team and assisting with any queries or issues regarding the monthly payroll reconciliation and supplier invoice queries.
- Maintain all joiner, leaver and changes data on the Reward portal. Running all monthly reports to process any new benefit selections and update third party providers on changes required
- Assisting with the annual renewal of the firms Private Medical Health scheme - updating internal systems and maintaining the Bupa portal with monthly changes
- Assist the Reward Specialist with creating the Profit share plan bonus information for the finance department, joiners, joiners and leavers, changes to work patterns, maternity dates, sickness absence
- Responsible for updating the pension provider’s (Aegon) portal monthly; creating employee and employer pension contribution reports for internal finance and liaising with the Assistant Financial Accountant on reconciling the monthly pension upload to payroll reports
- Plays a key role in the firm’s bi-annual salary review process, preparing and benchmarking data, go to person for queries and information
- Helps manage the relationship with employee benefit providers including attending renewal meetings, etc.
**General HR**:
- Facilitate and coordinate all leave processes (incl. sick, holiday, maternity paternity, adoption, shared parental, occ. health etc.)
- Support on the management of the HR support inbox
- Off-boarding - Process all paperwork (linked to Reward process) to facilitate a smooth and professional exit for all incumbents
- Process/forward any ad hoc invoices to the business services team (the rest should be processed through the business services team)
- Update the firm’s intranet pages on relevant content e.g. changes in forms, etc.
- Be responsible for updating employee files
- Operate and maintain data and records on the various HR systems aligned with the firm’s data protection policies.

**The team**:
The role sits within the HR Operations Team which forms part of the wider Human Resources Department. The department is made up of 28 professionals across HR Operations, Talent Acquisition, Reward and Benefits and Learning and Development. It offers a friendly and supportive working environment. It is a very busy department where confidentiality, personality and a proactive approach is essential.

**Salary/benefits**:
- 35-hour working week with flexibility around the core hours of 10am-4pm
- Paid overtime or time off in lieu (pre-approved and only where required).
- Working from home allowance of £25 a month.
- Eligibility for the firm’s Profit-Sharing Plan that runs from October to September each year. The scheme enables staff to share in the profits of the firm. Payment is usually c£1,000 for the full year. Paid in December.
