Facilities Coordinator

We are currently working with a national Property Management firm to source a Facilities Coordinator who will oversee engineering and maintenance services across their retail portfolio.
Facilities Coordinator Responsibilities:
- Coordinate the retail delivery process for all incoming tenants, following the processes and procedures.
- Provide support to the Deputy General Manager and deputise for them as directed in all matters relating to facilities and technical services.
- Prepare and update maintenance records, asset register, maintenance manuals and record drawings.
- Collate performance and management information from contract schedules for client/tenant reports.
- Manage contractors onsite including identifying and issuing appropriate permissions and permits for contractors undertaking work in the centre, ensuring that all activities comply with relevant legislation e.g. Fire Regularity Reform Act, Health & Safety at Work Act etc.
- Coordinate regular inspections of the building, services and to determine the safety and optimum frequency for planned and periodic maintenance.
- Ensure close liaison with Marketing and Commercialisation teams to understand operational involvement and requirements for events and activities.
- Ensure the Building and Technical Services department meet relevant legislation and complies with internal policies and procedures and that all projects are completed to contracted standards.
- Assist tenants in the event of an emergency breakdown or malfunction which affects the safety of other retailers, the shopping centre and customers.
- Build and maintain effective working relationships with employees throughout the centre, retailers and contractors.
- Assist the Deputy General Manager with the health and safety management system in the centre, complying with all policies and procedures.
- Maintain the reactive budget.
- Coordinate and support tenants ensuring appropriate compliance to their leases and relevant license’s.
- To coordinate the collation of monthly utility meter readings ensuring a high level of accuracy and submit to relevant team/external consultant for validation and recharging.
- To assist with maintaining all systems by scheduling tasks and chasing any reports from contractors and consultants and uploading them where appropriate.
The successful Facilities Coordinator will hold an H&S qualification such as IOSH, have previous experience overseeing maintenance contractors and have previously worked in a role using a CAFM system. Holding an engineering qualification, NEBOSH General Certificate or experience in shop fit outs (from a coordination or hands on background) would also be beneficial though not essential.
This client are looking to offer their Facilities Coordinator a Salary up to £32,000 per annum.
They are needing someone to join the team before the end of March so are ideally looking for applicants who are available immediately or only have short notice periods.
