CIEE London
CIEE London is situated on the south side of Russell Square in Bloomsbury. Up to 1000 students study with us all year round. You would join a team of 19 full-time staff.
Summary of position:
The Facilities Coordinator is a full-time and permanent role and supports the Facilites Manager. They are responsible for managing the day-to-day operations of CIEE’s physical premises. Their primary duties include ensuring that the facilities are safe and functional.
Key responsibilities include managing bookings for external clients and supporting their events in the building; overseeing the procurement and inventory of supplies and equipment necessary for facility operations. Provide support to reception and other teams on an adhoc basis.
Effective Facilities Coordinators possess strong organisational, communication, and problem-solving skills. They need to be detail-oriented and proactive, capable of managing multiple tasks simultaneously.
Overall, the role is crucial for maintaining a productive and safe working environment, ensuring that all operational aspects of the facility run smoothly and efficiently.
Duties and responsibilities:
- 8.30am-10am reception cover (Mon-Fri)
- Ad hoc room bookings
- Managing room booking platforms
- Booking rooms for CIEE programmes and external clients
- Liaising with CIEE London staff to ensure rooms are laid out correctly
- Classroom IT, ensuring that computers are updated, cables in classrooms are correct and IT is functioning properly
- Provide IT support to room users, CIEE faculty, staff and external users
- Printer, ensure consumables are ordered and stocked
- Manage Internal phone directory
- Mobile phones, set up and manage all staff mobiles
- Stationary ordering
- Ordering catering for CIEE events and visitors
- Conduct marketing tours for external bookings
- Provide a high standard of customer service
We are seeking to appoint someone with the following competencies:
Good interpersonal awareness; team working; financial acumen; excellent oral and written communication skills; well organised and with attention to detail; able to handle a diverse workload; customer service skills; use of initiative and a proactive approach to problem solving.
A good working knowledge of Microsoft 365 is expected. Experience with using Microsoft Teams is desirable.
