Atalian Servest is currently recruiting for a PPM Compliance Administrator to join our passionate and driven team in Glasgow
The role will support the Planned Services Manager and the Compliance Team leader in generating Planned Maintenance and ensure that all necessary documentation from internally delivered PPM tasks is always present in the management system.
**Your primary responsibilities will include**:
- Review certification and service records for quality and completeness
- Keep management system update with service records and put to client portal once checked and actions are complete.
- Build relationships and collaborate with internal field engineering, helpdesk, management and central teams
- Support in improving engineer documentation and escalate repeating performance issues to their line manager.
- Produce reports and data exports on request and respond to client requests
- Liaise with all internal and external teams in order to provide excellent customer service
- Support the resource planning and subcontractor teams to ensure that all maintenance plans on the system are accurate, complete and fit for purpose.
- Liaise with subcontractors and create their PPM planner on the management system.
- Work with the Maintenance Planner to support the preparation and implementation of contract variations.
- Report on remedial works raised following maintenance visits and associated revenue.
- Support the subcontractor administrators and resource co-ordinators in ensuring all necessary work orders are available and issued to the necessary teams to undertake work.
- Work collaboratively within the broader PPM, helpdesk and operational teams to provide excellent customer service.
- Ensure estate compliance for planned maintenance services within contract.
- Support internal and external audit teams in evidencing work completed and ensure safe delivery of future works and complete desktop audits periodically.
**About You**:
- 3-5 years minimum experience in FM / Building Services industry.
- Application and configuration of CAFM systems, ideally Concept Evolution and/or Maximo.
- Understanding of methodology used to build planned maintenance schedules.
- Understanding of contract delivery and commercial implications.
- Microsoft Excel - higher degree of efficiency needed.
- High attention to detail.
- Methodical and procedure approach to problem solving.
- Patient approach to work and communication style.
- Collaborative with stakeholders from different teams and organisations.
