FACILITIES ASSISTANT AND ADMINISTRATOR:

  • Raising of PO's, billings/invoicing, PPM and Reactive scheduling for our Engineers.

  • Chase suppliers for Contract related paperwork e.g., RAMS & Report sheets.

  • Collating timesheets/timesheet management.

  • Planning and scheduling of Engineers (PPM and Reactive works).

  • Provide support in the preparation of quotes.

  • General admin duties for filing, post, queries etc.

  • Arrange Holiday and Sickness Cover/Records.

  • Diary Management.

  • WIP report assistance

  • Develop strong relationships with the client, direct customers, colleagues, and subcontractors, sharing knowledge and experience with the wider team.

  • Attend necessary meetings and take responsibility for appropriate actions/minutes - at client meetings, working closely with the service delivery team and other colleagues to resolve requests and issues as quickly and efficiently as possible.

  • Ensure that customers and internal systems are updated within a specified time frame.

  • Create and issue monthly reports

  • Create and issue weekly WIP reports

  • Working alongside client – dealing with client queries and communicating directly to client employees.

  • Managing and achieving KPIs with the team

  • Creating and updating maintenance schedules

  • Management of ppm schedule

  • Updating and working on multiple software platforms- Client and internal systems

  • Covering the manager holidays and completing tasks whilst they're away

  • Achieve closure of Work Orders to financial deadlines to ensure prompt payment.

The Candidate Will Need:

  • Experience in a similar role
  • A drive to achieve excellence and progress.
  • Excellent written and verbal communication skills
  • Previous experience working on CAFM platforms.
  • Knowledge of MS Outlook, Microsoft Teams, Word, Excel & PowerPoint.
  • Ability to communicate clearly and effectively
  • Enthusiastic and self-motivated
  • Ability to prioritise own workload with minimal supervision and use of own initiative
  • Strong team working ethic
  • Experience communicating with engineers, assigning and managing active tasks

Job Type: Full-time

Pay: £30,000.00-£31,000.00 per year
