As an Order Intake Administrator, you will play a key role in ensuring a smooth and efficient order management process. You will be responsible for receiving, reviewing, and entering customer purchase orders into our system with a high degree of accuracy, ensuring alignment with pricing, lead times, and delivery expectations. You will collaborate closely with internal teams and maintain proactive communication with customers to secure on-time fulfilment and customer satisfaction.
Key Responsibilities
- Receive, review, and accurately enter customer purchase orders into the company's ERP system.
- Verify order details, including pricing, part numbers, quantities, and delivery dates, ensuring compliance with agreed terms.
- Communicate proactively with customers to confirm order receipt, provide updates, and advise on delivery schedules.
- Coordinate with Sales, Production, Purchasing, and Finance teams to ensure timely order fulfilment.
- Monitor order progress through to delivery, resolving any discrepancies, delays, or issues efficiently.
- Support accurate documentation for shipping, invoicing, and credit notes as required.
- Maintain data integrity and accuracy within the ERP system and ensure compliance with company processes and policies.
- Contribute to departmental KPIs related to order accuracy, on-time delivery, and customer satisfaction.
Key Requirements
- Previous experience in order processing, customer service, or sales administration in a technical or manufacturing environment.
- Strong attention to detail and commitment to accuracy in data entry and documentation.
- Excellent communication and interpersonal skills for dealing with internal stakeholders and international customers.
- Ability to manage multiple orders and priorities in a fast-paced environment.
- Experience using ERP/MRP systems (SAP Business One or similar preferred).
- Proficiency in Microsoft Office, particularly Outlook and Excel.
- A proactive, solution-oriented mindset with strong organisational and time management skills.
