Description The Quality Systems Coordinator role is responsible for supporting the effective implementation and maintenance of the Business Management System as well as the Quality Processes, including implementation of technology to reduce or eliminate administration, aligned to ensure compliance within industry standards and regulations such as ISO-9001:2015, OEM requirements, customer requirements, governance requirements and any other business requirements or regulations.
The graduate will collaborate with cross-functional teams to support quality improvements, initiatives, internal audits and will help to drive the Quality and BMS culture.
Quality Systems Coordinator will provide technical and administrative support to the Quality and BMS team and will be reporting to the Business Systems Manager or in their absence, to the Director of Quality.
Key Responsibilities Manage the BMS document control process by keeping a record of document numbers, versions and changes as well as the administration of the document control register.
Formatting documents to align with company templates and standards.
Uploading and storing documents on the BMS Approved Library in BMS SharePoint.
Writing guidelines and Quality business documents, and procedures when needed.
Assisting in hosting external auditors for external audits  Assisting in BMS induction for new starters  Support audit findings in the Audit Findings Tracker  Support on Quality Reports for all projects (Power BI, and other databases)  Support preparing the weekly Quality Report  Support IFS implementation/maintenance within the quality team.
Develop Smartsheet worksheets where relevant and acting as subject atter expert to assist in the development and training to people in the business that need to use and develop Smartsheet.
Support cross-functional teams to replace, develop and maintain Quality/BMS processes.
Monitoring external standards used by the company (BSOL/SAE) organizing resourcing of external standards when required  Conducting internal audits to the internal audit programme.
Skills, Knowledge and Expertise Essential  Advance Power BI   Smartsheet Knowledge- We should have as SME and define a level if possible  DocuSign experience would be an advantage  Experience analysing data and using or developing databases   Must have experience of utilising cross functional data , with a fundamental understanding of the metrics to produce reports or metrics supporting KPI's  Experience of developing process follows for complex cross functional teams, advanced Vision user would be an advantage  Must have experience of working with cross functional teams without authority that enables delivery of effective process and procedures that impacted positively on the business or business area  Desirable Certified as internal auditor ISO-9001:2015  Recognized qualification in Advanced excel, Smartsheet, or other databases  Miscellaneous: In addition to the above responsibilities the job also involves flexibility to conduct new activities according to the company or departmental strategy.
