About the position of Executive Assistant (CEO)

Are you a proactive, professional, and discreet individual with a flair for organisation? We are seeking an exceptional Executive Assistant to support a CEO in managing a dynamic and busy schedule. This is more than just a job; it's an opportunity to work closely with leadership in an established and successful financial services business. You'll play a key role in facilitating the CEO's vision and initiatives while enjoying the benefits of a focused, professional setting. In this pivotal role, you'll be responsible for diary management, ensuring the CEO is fully briefed for meetings, and providing comprehensive administrative support across multiple business ventures. Your keen attention to detail and ability to prioritise will be essential as you handle travel planning, manage communications, and assist with high-level meetings. If you're a confident communicator with at least 3 years of experience in a similar role, particularly in a regulated financial services environment, we want to hear from you

Responsibilities for the role of Executive Assistant (CEO)

  • Manage the CEO's busy diary and ensure they are fully briefed and prepared for all meetings.
  • Maintaining absolute discretion and confidentiality in all aspects of personal data and corporate confidential information
  • Greet and host visitors at all levels of seniority with professionalism.
  • Plan and coordinate domestic and international travel.
  • Oversee vehicle management, including scheduling inspections and liaising with drivers.
  • Provide comprehensive administrative support, including composing correspondence, arranging meetings, and tracking actions.
  • Take on meeting secretariat duties such as publishing agendas, distributing board packs, and taking minutes.
  • Assist with formatting slide decks

Experience and skills required for the Executive Assistant (CEO)

  • Executive Assistant or Personal Assistant, preferably in a regulated financial services or corporate professional environment.
  • Strong organizational abilities, excellent attention to detail, and the capacity to juggle multiple tasks. You should be a confident problem solver and an effective communicator, both in person and in writing.
  • Proficient in the MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Calm, capable, and confident, with a proactive mindset and resilience under pressure.
