Job Summary: We are seeking an experienced Administrative Coordinator to join our Endoscopy Service team at Portsmouth Hospitals University NHS Trust.

About the Role: The successful candidate will be responsible for facilitating the scheduling of patients' endoscopy procedures, ensuring timely booking and validation of appointments. They will also perform regular data quality and validation duties to maintain clean data.

Main Responsibilities:

  • Schedule pre-op and endoscopy procedure dates for patients, maintaining and updating endoscopy lists in real-time.
  • Ensure required tests/diagnostics/examinations are scheduled within referral to treatment timeframes.
  • Utilize endoscopy session space effectively, identifying capacity shortfalls and liaising with Operational Support Manager to overbook lists.
  • Notify patients of new or changed appointments/endoscopy dates and clinical team changes.
  • Maintain accurate records and correspondences with HICSS, reflecting leave requests from clinical teams and resolving discrepancies promptly.
  • Action E-Referral booking system daily, printing and adding patients to waiting lists according to Trust Access Policy, highlighting any issues.
  • Perform daily and weekly data quality and validation checks, specifically validating Patient Tracking List (PTL).
  • Aid in monitoring elective activity by producing statistics for central use.
  • Adhere to Trust's Policies and Procedures, including working knowledge of Access Policy.
  • Assist in staff induction and training, demonstrating activities to new/less experienced staff.
  • Provide professional and courteous service responding to telephone and in-person enquiries as needed.
  • Liaise with medical and nursing staff regarding patient appointments/pathways.
  • Accurately record telephone messages and refer as appropriate.
  • Maintain good patient relations, resolving minor complaints involving Manager/Sister if necessary.

Requirements: Experience working in an office environment, ability to work using own initiative, and working knowledge of MS Office, including email and Excel.
