Job Description:

**Transport Debrief Specialist**

We are seeking a highly organized and detail-oriented individual to join our team as a Transport Debrief Specialist. As a key member of our logistics team, you will be responsible for ensuring the smooth operation of our transportation services.

Key Responsibilities:

  • Debrief all returning vehicles to the depot, conducting thorough inspections for any damages or safety issues.
  • Communicate with drivers regarding daily runs and address any issues that may arise.
  • Report any defects or concerns to the relevant parties.
  • Manage Vehicle On-Route (VOR) systems, ensuring accurate and up-to-date information.
  • Download vehicles and tachograph machines, maintaining accurate records.
  • Liaise with our vehicle maintenance providers to ensure prompt and efficient repairs.
  • Update all transportation systems, ensuring seamless communication and coordination.
  • Scan return and outgoing items, maintaining accurate inventory and tracking.
  • Plan collections and deliveries, ensuring timely and efficient execution.
  • Contribute to the success of the site by ensuring all POD and Return processes are carried out in accordance with site policy documents.
  • Book collections for customers and complete relevant paperwork.
  • Book deliveries for customers, ensuring timely and efficient execution.
  • Investigate any collection queries, providing prompt and effective solutions.
  • Ensure all paperwork is returned for all customer deliveries dispatched from site, and chase outstanding PODs.
  • Liaise with staff at other depots and external contacts, maintaining effective communication and coordination.
  • Perform administrative tasks, including photocopying, printing, organizing, and storing documents and computer-based information.
  • Monitor daily the clean POD workflow, ensuring efficient and effective execution.
  • Control period-end spreadsheets, maintaining accurate and up-to-date records.
  • Compile lists of outstanding PODs and contact hauliers to request.
  • Report outstanding PODs each day, ensuring timely and effective resolution.

Requirements:

  • Understanding of transport legislation and logistics operations.
  • Able to build good relationships with people, even in high-pressure situations.
  • Challenge any vehicle issues or damages with drivers, ensuring prompt and effective resolution.
  • React quickly to information and solve problems independently, demonstrating initiative and resourcefulness.
  • Good communication skills, both verbal and written.
  • Competent use of Microsoft, particularly Excel.
