Job Overview

We are seeking a highly skilled Transport Operations Coordinator to join our team at Challenge-TRG Recruitment. As a key member of our logistics team, you will be responsible for ensuring the smooth operation of our transportation services.

Key Responsibilities:

  • De-brief all returning vehicles to the depot, conducting thorough inspections for any damages or safety issues.
  • Communicate effectively with drivers regarding daily runs, addressing any issues that may arise.
  • Report any defects or maintenance requirements to the relevant teams.
  • Manage Vehicle On-Return (VOR) processes, ensuring timely and accurate documentation.
  • Download vehicles and tachograph machines, maintaining accurate records.
  • Liaise with our vehicle maintenance providers to ensure prompt resolution of any issues.
  • Update all transportation systems, ensuring seamless integration with our operations.
  • Scan return and outgoing items, maintaining accurate inventory levels.
  • Plan and coordinate collections and deliveries, ensuring timely and efficient execution.
  • Contribute to the success of the site by ensuring all POD and Return processes are carried out in accordance with site policy documents.
  • Book collections and deliveries for customers, completing relevant paperwork.
  • Investigate any collection queries, providing prompt and effective resolution.
  • Ensure all paperwork is returned for customer deliveries, chasing outstanding PODs as necessary.
  • Liaise with staff at other depots and external contacts, maintaining effective communication channels.
  • Perform administrative tasks, including photocopying, printing, and storing documents and computer-based information.
  • Monitor daily clean POD workflow, ensuring timely and accurate processing.
  • Control period-end spreadsheets, maintaining accurate financial records.
  • Compile lists of outstanding PODs, contacting hauliers to request completion.
  • Report outstanding PODs daily, ensuring timely resolution.

Requirements:

  • Strong understanding of transport legislation and logistics operations.
  • Ability to build strong relationships with people, even in high-pressure situations.
  • Confidence in challenging vehicle issues or damages with drivers.
  • Ability to react quickly to information and solve problems independently.
  • Excellent communication skills, both verbal and written.
  • Proficient use of Microsoft, particularly Excel.
